Add countersigned documents

Once a communication is sent and is no longer in Draft, further documents cannot be attached to it or to its state transitions. However, the Company or Contractor may need to add a countersigned document so that the communication contains all relevant documents and information. To allow this, countersigned documents can be added to communications which have been Agreed or Not Agreed only.

Users with the following contract roles can add a countersigned document to a communication:

  • Contractor Representative

  • Contractor Administrator

  • Contractor Information Management - only communications which do not have financial values, confidential custom fields or confidential documents

To add a countersigned document:

  1. Navigate to the communications register of the contract you want to work on.

  2. On the communication register, click the Title of the communication for which you want to change the state.

    The Communication Details page is displayed. The Response to the communication is also displayed at the top of the page, with notes and attachments associated with the state transition (including any countersigned documents which have already been added).

  3. If required, click the name of the document attached to the response to open or download it.

  4. Click Add Countersigned Document.

    A confirmation message is displayed.

  5. Click Yes.

    The Add Attachment window is displayed.

    Tip Click the Add Attachment to add more documents.

  6. Click Browse to select the document you want to add.

  7. Enter the Name of the document.

  8. Select whether the document Is Confidential.

    Note This option is automatically set to No for Contractor Information Management users, and cannot be changed.

  9. Click Save.

    The Communication Details page is displayed, with the countersigned document displayed in the Response section.
