View tender message details

To view the details of a tender message:

  1. Navigate to the home page of the tender.

    The Your New Messages section shows a register of messages associated with the tender.

    You can also click the Messages tab to open the Messages page.

  2. Click the message you want to view.

  3. The Message Details page is displayed with the details of the message, any attached documents, and a list of related messages (the Story section). The Subject of the message is shown at the top of the page.

    Field descriptions

    Field

    Description

    Tender

    The reference and name of the tender.

    Recipient

    Received messages only. The message recipient.

    Date Received

    Received messages only. The date the message was received.

    Date Read

    Received messages only. Displayed only if you have marked the message as read - see Marking a Message as Read below.

    Sent To

    Sent messages only. The message recipient

    Date Sent

    Sent messages only. The date the message was sent.

    Requires Response

    Only displayed if a response is required from the message recipients.

    Response Required By

    Only displayed if a response is required. The date by which the response is required.

    Confidential

    Indicates whether the message can only be seen by tender team members with permission to view tender messages who also have Confidential access.

    Attachments

    Any documents attached to the message.

    Click the name of a document to open it or save it.

    Message Body

    The text of the message.

    Story column descriptions

The current message is indicated with bold text.

Column

Description

fa-envelope

Indicates an unread message.

fa-paperclip

Indicates that the message has attachments.

fa-lock

Indicates that the message is confidential.

Message Type

The category of the message.

This can only be set on messages sent by the company. Messages sent by you are categorized as 'Vendor Communication'.

Subject

The subject of the message.

From

The sender of the message.

To

The message recipients.

Date Sent

The date the message was sent.

Requires Response

Indicates that the message requires a response.

Response Due By

The date by which any response is required.

Mark a message as read

When you view a received message, it is not automatically marked as read. This must be done manually by clicking Mark as Read on the Message Details page or by replying to it (see Reply to a tender message).

Marking a message as read marks it only for you. Other tender team members with permission to see the message will still see it as unread.

Note If you are not listed as a recipient of the message, but mark it as read, you are added to the recipients list.

Warning Once a message has been marked for you as read, it cannot be unmarked.

Change the confidentiality of a tender message

You can change the confidentiality of non-confidential messages that you sent to the Company. You cannot change the confidentiality of received messages.

If a message is Confidential, tender team members without Confidential access will not see the message in the register on the Messages page, and will not be able to see its details.

To change the confidentiality of a message:

  1. On the Message Details page, click Change Confidentiality.

    A confirmation message is displayed, indicating whether the message will become Confidential or Non-confidential.

  2. Click OK.

    The Confidential field is updated with the current Confidential status of the message.

    If the message was made Confidential, it can only be seen by tender team members with permission to view tender messages who also have Confidential access. Any attached documents are also set as Confidential.

    If the message was made Non-confidential, all users who can view tender messages can see it.
