Communication revisions

Communication revisions can only be created for communications in the Rejected and Not Agreed states, and only from the latest revision of a communication.

When a communication revision is created, an exact copy of the original communication is generated. The information in a revision can be edited with updated information.

If the communication requires a response, a new obligation is initiated.

When a revision is created, only the most recent revision of the communication is displayed on the communication register. To view and access previous communication revisions, click the number in the Rev column.

Create a communication revision

Communication revisions can only be created for communications in the Rejected and Not Agreed states.

Only users with the following contract roles can create communication revisions:

  • Contractor Representative

  • Contractor Administrator

  • Contractor Information Management - only communications which do not have financial values, confidential custom fields or confidential documents

    Warning If a confidential document is added to a communication that a Contractor Information Management user was previously able to edit, they will no longer have permission to make changes to the communication.

To create a communication revision:

  1. Navigate to the Contract page for the contract you want work on.

  2. Click the Communications tab.

    The communication register is displayed.

  3. On the communication register, click the Title of the communication you want to create a revision of.

    The Communication Details page is displayed.

  4. Click the fa-sort-down drop-down arrow on the Details tab and select Create Revision from the menu.

  5. If the communication records both expenditure and progress, the Associated Progress Communications dialog box is displayed listing all progress communications which can be linked to from this communication, including any linked in the previous revision as well as those which have been agreed or approved since the previous revision was created.

    Select the progress communications you want to the communication revision to link to and click Create Revision.

  6. If the communication doesn't record both expenditure and progress, a confirmation message is displayed

    Click OK.

  7. The Details page for the new communication revision is displayed, with the updated Revision number shown in the Communication Details section.

    If the communication requires a response, a new obligation is initiated. See Respond to a communication.

    To edit the details of the communication revision, click the fa-pencil Edit button. See Edit the details of a communication for more information.

View communication revisions

To view a communication's revisions:

  1. Navigate to the Contract page for the contract you want work on.

  2. Click the Communications tab.

    The communication register is displayed.

  3. On the communication register, click the Title of the communication you want to view the revisions for.

    The Communication Details page is displayed.

  4. Click the Revisions tab.

    A list of the communication's revisions is displayed, latest first.

  5. Click the title of a revision to view its Communication Details page.

    Alternatively, on the communication register, click the number in the Rev column of the communication you want to view the revisions for. The Revisions tab for the latest version is displayed.
