Issue a Drawing for Document Manager

The AVEVA P&ID Document Manager is used to view and compare revisions of AVEVA P&ID drawings which have been saved to the project database.

Drawings may be automatically saved to the project database when they are saved or synchronized.

However, they may also be manually saved ("issued") to the database at any time using this procedure.

This procedure is used to issue a single drawing (the current drawing). Batches of drawings may also be issued. Refer to Issue Batches of Drawings for Document Manager.

Associated Project Configuration Options

  • Whether or not users will be prompted to specify the position of major revision label on a drawing depends on whether the position of the XDR label type is set in the Label Types Configuration Category of the AVEVA P&ID Project Administration program.

  • Whether or not users will be prompted to label drawings with their minor revision numbers on issuing is controlled by the setting of the USER_SHOWMINORREVONDRAWING user-defined directive in the Miscellaneous – Settings Sub-Category of the AVEVA P&ID Project Administration program.

  • The drawing layer for revision-related entities such as revision details is selected in the Miscellaneous - Labels Sub-Category of the AVEVA P&ID Project Administration program.

Procedure

  1. Start the procedure by selecting the Issue option in the Compare group of the Manage tab.

  2. The Add Issue revision details dialog is then displayed:

  3. If a major revision is to be issued, and the major revision identifier is to be incremented, check the Increment Major Revision checkbox.

    The major revision identifier will automatically be incremented according to the format selected for major revisions in AVEVA P&ID Reports.

    Alternatively, the identifier of the new major revision may be selected from the Major Revision field. Depending on the Issue options set in AVEVA P&ID Reports, this will either be:

    • from a list of values derived from a selected format (e.g. simple numbers, letters, etc.), or

    • from a list of values (USERLOV_MAJORREVIVISION) set up in the AVEVA P&ID Project Administration program, refer to List of Values Configuration Category.

      Values chosen for previous issues may not be selected again.

      If the Increment Major Revision checkbox is checked or a new major revision identifier is selected from the Major Revision list, the Minor Revision list is disabled. When a major revision is issued, the minor revision is automatically set to the first minor revision identifier in the list (which may be null, for example, blank, depending on whether this option is enabled in the AVEVA P&ID Reports settings).

      Note: The initial major revision identifier of a drawing may be "null" (blank), depending on whether this option is enabled in the AVEVA P&ID Reports settings. The minor revision identifier will be always be the first minor revision identifier in the list of minor revision identifiers, unless that is also null, in which case it will be the next identifier in the list (for example, the first non-null value).

      Note: In the AVEVA P&ID Reports Issue options, the format selected for minor revision identifiers may be set to NONE. This means that only major revisions can be issued, and that the minor revision identifier will always be null.
      If NONE is selected as the minor revision identifier format, then major revision identifiers cannot be set to null (to avoid both revision identifiers being null). The null option will not be available for them.

  4. If a minor revision is to be issued (and if this is possible - see the above note), select a new minor revision number from the Minor Revision list. Depending on the Issue options set in AVEVA P&ID Reports, this will either be:

    • from a list of values derived from a selected format (e.g. simple numbers, letters, etc.), or

    • from a list of values (USERLOV_MINORREVIVISION) set up in the AVEVA P&ID Project Administration program, refer to List of Values Configuration Category.

      Values chosen for previous issues may not be selected again.

      Selecting a minor revision identifier will disable the Increment Major Revision checkbox and Major Revision list.

  5. If required, enter the identities of those who revised, checked and approved the issue in the Revised By, Checked By, Approved By and Client Approved By fields.

  6. Enter any notes or comments on the issue in the Description field.

  7. If a PDF file of the drawing is to be generated, check the Export Drawing to PDF file format checkbox which activates the Output Location field.

  8. Enter a valid output location in the field or Browse to a location. If the output location is not valid, the files are saved to the default location which was set in the Project Administrator. The specified output location is retained for future use when the drawing is re-issued.

  9. The Issued Date field is completed automatically and cannot be changed.

  10. Select OK to complete the issue.

  11. If a major revision label is not present on drawing and position of the XDR label type is not is not set in the Project Administrator, the user will be prompted to add a label showing the major revision identifier description to the drawing:

  12. Depending on the setting of the USER_SHOWMINORREVONDRAWING and USER_SHOWDESCONDRAWING user-defined directives, if these labels are not present on the drawing, the user will be prompted to add a label showing the minor revision identifier and/or description to the drawing. For example:

    Minor Revision label is not present on the drawing. Please select a point on the drawing:

    Note: If revision and description labels are already present on the drawings, these labels will be updated and will remain in the same place. If the location set for them is not valid, a default point will be selected for them instead (0.0, 0.0, 0.0).
