Design Behavior for Restricted Activities and Activity Properties

While opening the existing workflow, if some of the activities are restricted for the user then those activities will be displayed but can not be able to set the Activity Properties.

Example:

The following example illustrates, how the user is restricted for the activities and activity properties while opening the existing workflow.

Here assumed that the administrator user has access rights for all the activities and activity properties in the Process Designer. Where as the contributor user has restricted to activities like Check-List and Information activities. These activities are under Human Activities category.

What happens when contributor user opens the Workflow designed by administrator user?

If the contributor user wants to open the existing 'Travel Desk' workflow which is designed by administrator user in design mode then the contributor user can able to see Check-List and Information activities but can not set the Activity Properties for these activities. Since this user does not have access rights to these activities and will not be able to perform the actions.

To achieve the same, perform the following steps:

  1. Login as a user who belongs to the Administrator security group.

  2. From the Enterprise Console menu, select Workflows.

  3. Select the drafted 'Travel Desk' workflow which is designed by administrator user by clicking on Design from the ribbon bar or Design Workflow from the right-click context menu.

  4. The following screen is displayed. Here contributor user can able to view the Check-List and Information activities.

  5. Right-click Check-List activity and then select Activity Properties. The message "You do not have right for this activity" appears, and the Activity Properties will be empty.

  6. Right-click Information activity and select Activity Properties. The message "You do not have right for this activity" appears, and the Activity Properties will be empty.

    Note: You cannot re-design or open the published workflow. If you want to re-design or open the published workflow, the Can Overwrite Published Workflow right should be set as True for that security group.
