Enable Multi-Select Option in Work Item List

When the DisplayGroupUI property is enabled, an additional button Enable Multi Select is displayed in the Work items list. This property is a powerful feature that expedites processing of similar items in a batch.

The Enable Multi Select button provides users with options of acting on items as a batch. An additional option is made available when the items are grouped.

Note: The Multi Select option is not supported for Resource Set activity and Information activity.

On clicking the Enable Multi Select button, the Work items list interface is displayed in the multi-select mode with check boxes for each item. The user can enter comments that are applied to all the selections. The options for acting upon the selection depend on the type and stage of processing that the selected items are in.

Example 1: A user has multiple new work items that have the subject Approval of Vendor Invoices. The user can enable multi-select, then select all the items that they want to take the ownership of. They can then select the Take Ownership option in the drop-down to take the ownership of the selected items in a single click.

Selecting Similar Work Items from the Work Items List

You can select all the similar work items in the Work items list based on the activity type of the selected work item. For example, if you select the work item with Approval activity, then all the other work items with the Approval activity will be selected.

To select similar work items from the Work items list

  1. Select the work item and then right-click to view the context menu.

  2. Click Select all similar items option in the context menu.

    Based on the activity type of the selected work item, all the similar items in the Work items list get selected.

To deselect the work items, click UnSelect all similar items option in the context menu.

To select similar work items from the grouped Work items list

  1. Right-click on the column and then click Group By This Field to group the work items based on the selected column.

  2. Select the work item from the grouped list and then right-click to view the context menu.

  3. Click Select all within group option in the context menu.

    Based on the activity type of the selected work item, all the similar work items listed in the group get selected. If the group has items with different activity, an error message is displayed.

    To deselect the work items within the group, click UnSelect all within group option in the context menu.
