View Others Items in the Lookup Control

Why user is not able to view other user items in Lookup Control?

Problem: User is unable to view the list items in Lookup Input control.

Resolution: Check the following steps to view the other list items in Lookup Input.

1. Check user security group and rights.

2. Make sure that Show Only Owned Item right is set to False for that user.

3. Make sure that Can Consume Item and Can View Others Draft Items right is set to True for that user.

Example: This example demonstrates why the user is not able to view items in the Lookup Input control and how to resolve this issue.

Let assume that there is a List called 'Employee List'. Consider that the Employee list consists the Employee name, Employee Id, Department, and Designation Fields. Where Employee name and Employee Id fields are Textfields and Department and Designation Fields are Lookup Input controls. Say Department field fetches the list items from 'Department' list and Designation field fetches the list items from 'Designation' list.

The problem is that user is not able to see all the items in 'Department' and 'Designation' lookup input controls.

The solution is to login as the administrator user and check the group to which the user belongs and what are the security rights defined for the user. Ensure if Can Consume Item is selected or not? If not, set this right to True. If the user is still not able to view, then uncheck Show Only Owned Item right. If the user is not able to view other's draft items, then select Can View Others Draft Item right also. Now the user should be able to view all the Department and Designation items in the lookup input controls.
