Import Behavior for Restricted Activities and Activity Properties

If user has access rights for the activities of a workflow which has to be imported, then all the Activities and Activity Properties will be displayed with the respective activities for the user.

While importing the workflow, if some of the activities are restricted for the user then those activities will be replaced with Dummy Actions.

Example:

The following example illustrates how the user is prevented from accessing the activities and activity properties while importing a workflow.

The administrator user has access rights for all the activities and activity properties in the Process Designer. The contributor user cannot access activities like the Check-List and Information activities. These activities are under the Human Activities category.

What happens when a contributor user imports a workflow?

The 'Travel Desk' workflow is designed using the Start, Approval, Check-List and Information activities. If the administrator user imports the 'Travel Desk.xml' in the Process Designer window, this user will be able to see all the activities. When the contributor user imports the same xml, this user will not be able to see the Check-List and Information activities. These two activities will be replaced by Dummy actions.

What happens when a contributor user opens a workflow designed by an administrator user?

If the contributor user wants to open the existing 'Travel Desk' workflow which is designed by the administrator user in design mode then the contributor user is able to see the Check-List and Information activities but cannot set the Activity Properties for these activities. Since this user does not have access rights to these activities, the user will not be able to perform the actions.

To achieve the same, perform the following steps:

  1. Login as a user who belongs to the Administrator security group.

  2. In the Enterprise Console, click the Menu button, and then click Workflows. The Workflows page appears.

  3. On the action bar, click New, and then click Workflow. The New Workflow wizard appears.

  4. Enter the title Travel Desk and a description for the workflow.

  5. Click Save & Design. Select Design the Workflow now and click Finish.

  6. The Process Designer window will be displayed. Select Tools > Import from the menubar.

  7. The Import AVEVA Work Tasks Process Definition window appears. Locate the 'Travel Desk.xml' by clicking Browse.

  8. Click Import to import the 'Travel Desk.xml' file. It will redirect you to the Process Designer window.

  9. To restrict the activities like Check-List and Information, you need to customize the security definition of the contributor user.

  10. Click Repository Settings > Advanced Settings > Manage Security Group.

  11. Select the Contributor security group and click Edit on the ribbon bar or right-click and select Edit from the context menu.

  12. In the Modify Existing Security Group window, click Set Process Designer Rights to restrict the activities Check-List and Information.

  13. Click Save to save the changes.

  14. Click Save to save the Security Group definition and synchronize it, if required.

  15. Login as a user who belongs to the Contributor security group to see the effect of the security provided for the contributor user.

  16. Open the Process Designer window. (Perform the steps 2 to 5 to open the Process Designer)

  17. Import the 'Travel Desk.xml' file by clicking Tools > Import. The imported xml appears.
    Here, the Check-List and Information Activities are restricted for the Contributor user. Hence, these two activities will not be displayed in the Human Activities category list. These activities are replaced with Dummy Actions. If the user tries to edit their properties, a message saying “You do not have right for this activity” will be displayed and the Activity Properties will be empty.

  18. Right-click Check-List activity and then select Activity Properties. The message "You do not have right for this activity" appears, and the Activity Properties will be empty.

  19. Right-click Information activity and then select Activity Properties. The message "You do not have right for this activity" appears, and the Activity Properties will be empty.
