AVEVA™ Contract Risk Management - Company Portal

System settings

Users with the Administration - System Administration permission can configure their AVEVA Contract Risk Management system from the System Settings page. The options selected here have an effect on all areas of the system and how users interact with it.

To edit system settings:

  1. Open the navigation bar. If necessary, click the Manage tab.

  2. Under System, click System Settings.

    The System Settings page is displayed.

  3. Click the icon.

    The Edit System Settings page is displayed.

  4. Edit the information as required in the relevant fields.

    Note Fields marked with an asterisk fa-asterisk are required.

    • Email Enabled: Allows emails to be sent and received through the AVEVA Contract Risk Management system.

    • Administrator Email Address: The email address used when sending emails to users from the system.

    • Mail from Address: This email address changes the FROM verb in the SMTP protocol used to send outgoing email from your AVEVA Contract Risk Management server.

      This field is only used if your SMTP server e.g. smtp.mycompany.com has a different domain name to your company email address e.g. user@mycompany-limited.com which causes SPF Record Checks on recipient email servers to fail (see http://www.openspf.org/). If your outgoing emails are failing SPF Record Checks then you should set this value to align with your SMTP server e.g. no-reply@mycompany.com.

      This Mail From Address never appears in the body of any outgoing emails so does not affect who the email message appears to be from for the recipient.

    • Failed/Bounced Emails sent to: The email address to which failed/bounced emails are sent.

    • Tender Automated Notifications Enabled: Set to Yes to send automatic email reminders to contractors that have been included in a tender dispatch, but have yet to make a submission.

    • Tender Automated Notifications Activation Period (Days): Displayed if Tender Automated Notifications Enabled has been set to Yes.

      The number of days before the final submission date of a tender dispatch that the email notification is sent to contractors who have been included in a tender dispatch but have yet to make a submission.

    • Default Country: The default country on country selection drop-down lists for users and organization and business unit addresses.

    • Default Currency: The default currency on currency selection drop-down lists for users and organization and business unit addresses.

      Note The default currency can only be changed if no contracts or tenders have been created in the system.

    • Supported File Types: Types of documents that are supported by AVEVA Contract Risk Management. Users can only download and upload documents of the types entered here.

    • Supported Message File Types: The email types supported by AVEVA Contract Risk Management. This is only applicable to the tender Despatch/Tracking schedule item.

    • Maximum Email Attachment (Bytes): The maximum size permitted for email attachments.

    • Company's URL: The company's URL address.

    • Allow Method Of Communication Setting To Control Visibility Of Contracts: A contract's Method of Communication setting is used to determine if the contract is visible in the Contractor Portal.

      If you select Yes, contract administrators can make contracts visible on the contractor site through a configuration on the contract creation/contract profile page.

    • Default notification preference for new contacts to use email: If you select Yes, email will be used as the default preferred method of communication for new contractor contacts.

    • Default notification preference for new contacts to use post: If you select Yes, post will be used as the default preferred method of communication for new contractor contacts.

    • Default notification preference for new contacts to use contractor portal: If you select Yes, the Contractor Portal will be used as the default preferred method of communication for new contractor contacts.

    • Email Footer: The text that is displayed as the email footer for all emails sent by the Organization.

      Note This footer is overwritten if an email footer is set up at either the business unit or project/dept level.

    • Default Value for Post Award Document Visibility in Contractor Portal: The default option when adding contract documents. Yes allows documents to be visible to the contractor using the contractor portal. Company site users can change this option when adding documents.

    • Default Value for Pre Award Document Availability for Sending to Contractor: The default option set when adding tender documents. Yes allows documents to be sent to contractors. Company site users can change this option when adding documents.

    • Use Contractor Portal by default on contracts: Select to use the Contractor Portal as the default means of communication after a contract has been awarded.

    • Certificate Thumbprint: The thumbprint of the certificate used to encrypt requests to the authentication server from AVEVA Contract Risk Management.

    • Enable Pre-release modules: Select to allow pre-release modules to be available to users with the Access Pre-Release Modules permission.

    • Manually Assign Communication Reporting Category: Select to enable specific contract roles to manually change the reporting category for a communication.

    • Temporary File Location: The folder in which temporary files are stored.

    • Contract Event Recipients: The recipients of email notifications for contract events. Select from:

      • Contract Owner

      • Company Representative

      • Contract Owner & Company Representative

    • Maximum File Upload (Bytes): The maximum size (in bytes) of documents which can be uploaded as tender bid submission documents and contractor tender message attachments.

      The default value is 2147483647 (2GB). This is also the maximum value of this field.

  5. Click Save when all fields have been correctly edited.

    A message confirming that the system settings have been updated is displayed.
