Template attachments

Users can generate communication attachments from standard documents attached to the communication template. These template attachments are documents which will generally utilize the field substitution feature within AVEVA Contract Risk Management, which allows Microsoft Word documents to be populated with contract-specific information. All template attachments must first be added to the Reference Library, and from the Reference Library, added to the communication template.

A list of the template attachments for a communication template are displayed on the Communication Template Details page.

Attach a template document to a communication template

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract Configuration page.

  2. Select the Communication Templates tab.

    The Communication Templates page is displayed.

  3. Click the name of the communication template you want to attach template documents to.

    Alternatively, click the fa-sort-down drop-down arrow for the template and select Details from the menu.

    The Communication Template Details page is displayed.

  4. For Document Templates, click the icon.

    The Select a Template Document Category page is displayed.

  5. Select the required template document category from the Template Document Category drop-down list.

    A list of templates for the chosen category is displayed.

  6. Select the templates you want to add.

  7. Click Add.

    The Communication Template Details page is displayed.

View template attachment details

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract Configuration page.

  2. Select the Communication Templates tab.

    The Communication Templates page is displayed.

  3. Click the name of the communication template you want to attach template documents to.

    Alternatively, click the fa-sort-down drop-down arrow for the template and select Details from the menu.

    The Communication Template Details page is displayed.

  4. In the Document Templates section, click the icon for the template attachment you want to view the details for.

    The Template Details page is displayed.

    Editing Template Attachments

    To edit the template documents associated with a communication template:

    1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract Configuration page.

    2. Select the Communication Templates tab.

      The Communication Templates page is displayed.

    3. Click the name of the communication template you want to attach template documents to.

      Alternatively, click the fa-sort-down drop-down arrow for the template and select Details from the menu.

      The Communication Template Details page is displayed.

    4. Click the icon for the template attachment you want to edit.

      The Template Details page is displayed.

    5. Click the icon for the document you want to edit.

      Deleting Template Attachments

      To delete the template documents associated with a communication template:

      1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract Configuration page.

      2. Select the Communication Templates tab.

        The Communication Templates page is displayed.

      3. Click the name of the communication template you want to attach template documents to.

        Alternatively, click the fa-sort-down drop-down arrow for the template and select Details from the menu.

        The Communication Template Details page is displayed.

      4. Click the Delete icon for the template attachment you want to delete.

        A confirmation message is displayed.

      5. Click OK.
