Copy an attachment from the communication template

Documents which have been attached to the communication's template can be copied to the communication so that they are included in the communication's details. Once they have been copied, they can be viewed and edited in the same way as other communication attachments.

Note If the communication template attachment uses field substitution, copying it will not replace the fields with communication data. To do this, you must generate a document from the template attachment - see Generate documents from template attachments.

They can be copied under the following conditions:

  • If the contract's Method of Communication is set to Contractor to communicate via other means (in other words, the contractor does not use the Contractor Portal), template attachments can be copied when the communication is in any state except for Not Agreed and Rejected.

  • If the contract's Method of Communication is set to Contractor to communicate via Contractor Portal, template attachments can only be copied when the communication is in Draft state.

    Note This functionality is not available on the Contractor Portal.

To copy a template attachment to the communication:

  1. On the communication register, click the Title of the communication you want to copy the template attachment to.

    The Communication Details page is displayed, with the list of documents attached to the communication displayed in the Attachments section.

  2. Click Attachments and select Copy Template Documents or Copy Template Documents to Sent Communication as appropriate from the menu.

    The Copy Template Documents page is displayed.

  3. Select the template documents you want to copy.

  4. Click Create Copy.

    The Communication Details page is displayed, with the copied documents displayed in the Attachments section.
