Associate communications with a contract obligation

In addition to the automatic creation and association of obligations from communications which require response, communications can be manually associated with obligations. The obligation and communications can be in any state.

Any user with a contract role can view the associated communications. Only communications to which they have access are displayed; for example, if the contractor has associated a communication which is still in the Draft state with an obligation, it will not be visible to a company user.

The following users can add and remove associated communications:

  • Users with the following contract roles:

    • Contract Owner

    • Contract Administrator

    • Company Representative

  • Users with other contract roles who are members of the responsible party for the obligation.

View associated communications

  1. Navigate to the home page of the contract you want to work on.

  2. Click the Obligations tab.

  3. Click the obligation to open its details pane on the right-hand side of the page.

  4. Select Associated Communications from the menu.

    The list of associated communications opens in a new pane on the right-hand side of the page. If the obligation was automatically generated, the initiating communication is indicated by an Obligation Initiator label.

    You can filter the list by entering all or part of the Communication Title or Reference in the Quick Search box. Click fa-times on the box to clear the filter.

To close the Associated Communications pane, click fa-times on the pane or select a different option from the menu on the obligation details pane.

Add associated communications

  1. Navigate to the home page of the contract you want to work on.

  2. Click the Obligations tab.

  3. Click the obligation to open its details pane on the right-hand side of the page.

  4. Select Associated Communications from the menu.

    The list of associated communications opens in a new pane on the right-hand side of the page.

  5. Click Add.

    The Associate Additional Communications window is displayed.

  6. Select the communications you want to associate with the obligation.

    You can filter the list by entering all or part of the Communication Title or Reference in the Quick Search box. Click fa-times on the box to clear the filter.

  7. Click Add to associate the communications with the obligation. The window closes, and the associated communications are displayed.

    Tip The obligations with which a communication is associated can be viewed from the Communication Details page - see View the details of a communication.

    Remove associated communications

    Note If the obligation was created from a communication, you cannot dissociate this communication from the obligation.

    1. Navigate to the home page of the contract you want to work on.

    2. Click the Obligations tab.

    3. Click the obligation to open its details pane on the right-hand side of the page.

    4. Select Associated Communications from the menu.

      The list of associated communications opens in a new pane on the right-hand side of the page.

    5. Move the cursor over the communication you want to disassociate from the obligation and click the fa-times button which appears.

      A confirmation message is displayed.

    6. Click OK.

      The Associated Communications pane is refreshed, with the disassociated communication no longer included.
