Temporarily delegate your authority

To delegate your own authority:

  1. Click the fa-user User Profile icon on the navigation bar to open the user menu.

  2. Click Delegate Authority.

    The Manage Temporary Delegations of Authority page is displayed.

  3. Click Delegate Authority.

    The Configure a Temporary Delegation of Authority page is displayed.

  4. Click the icon for Assign Delegate.

    The Assign Delegate window is displayed.

  5. Enter values as required for the relevant search criteria.

    Option

    Description

    Business Unit

    Select a specific business unit or All from the drop-down list.

    Project/Dept

    Select a specific project/dept or All from the drop-down list.

    Search On

    Select whether to search on Last Name, First Name or Position.

    Criteria

    This option refers to the text you enter in the Search For field.

    Select whether you want the search to return results which Begins With, Contains or Ends With the text you enter in the Search For field.

    Search For

    Enter the text you want to search on.

    Tip Enter the % character to perform a wildcard search, e.g. % by itself to return all results or man% to return all results beginning with man.

  6. Click Search.

    All company users that match the search are displayed.

  7. Select the user to whom you want to delegate your workload, and click Add Selected.

    Note You cannot delegate your authority to a user who has already delegated their authority as this indicates they are unavailable for work.

    The window is closed and the Assign Delegate field is populated with the delegate's user name.

  8. Enter your reasons for delegating your workload and any instructions for the delegate.

  9. Enter the date and time of your planned return to work in the Planned Revoke Date field.

    This date acts a guide for the delegate only. You cannot revoke your delegation for a time in the future. This must be done manually at the time you want to reclaim your workload. See Revoke a temporary delegation of authority for more information.

  10. Click Delegate.

    A warning message is displayed

  11. Click OK.

    A confirmation message is displayed.

    Note When authority has been delegated, a notification email is sent to the delegate containing the delegator's contact details, any details of the delegation provided and the planned revoke date (if entered). The email also contains a URL link to AVEVA Contract Risk Management.

    Delegators can continue to carry out actions during the period of delegation. When the delegator logs in to AVEVA Contract Risk Management during the delegation period, a message is displayed reminding them that their authority is delegated to another user.

    If a user is assigned a task while they have delegated their authority to another user, the delegate receives a notification email.
