Contract risk covers

The contract risk cover feature deals with the legal aspects of risk management. It is intended to assisting companies with the application of management policies, procedures and practices to the tasks of identifying, communicating, monitoring and reviewing contractual risk.

View a contract's risk covers

  1. Navigate to the home page of the contract.

  2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

    Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

    The Risk Covers section of the Contract Details page is displayed.

    Field

    Description

    Type

    The type of risk cover.

    Description

    A description of the risk cover.

    Category

    The category of the risk cover: Insurance, Guarantee, Bond or Other.

    Certificate

    Indicates whether a certificate has been attached to the risk cover. Click the icon in the first column to view the certificate.

    Agency/Bank

    The name of the agency or bank.

    Reference

    A reference number for the risk cover.

    Expiry Date

    The expiry date of the risk cover.

    Value

    The value of the risk cover.

    Currency

    The currency of the risk cover, if specified.

Create a risk cover

  1. Navigate to the home page of the contract.

  2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

    Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

    The Risk Covers section of the Contract Details page is displayed.

  3. Click Create Risk Cover.

    The Risk Cover Details page is displayed.

  4. Enter information as required in the relevant fields.

    Note Fields marked with an asterisk fa-asterisk are required.

    Description

    Type

    The type of risk cover.

    Description

    A description of the risk cover.

    Category

    The category of the risk cover: Insurance, Guarantee, Bond or Other.

    Note Risk cover expiry dates or values can be tracked through contract events. For example, an event can be raised if the risk cover is about to expire. The risk cover category is the element of the risk cover that is monitored by contract events.

    Agency/Bank

    The name of the agency or bank.

    Reference

    A reference number for the risk cover.

    Expiry Date

    The expiry date of the risk cover.

    Value

    The value of the risk cover.

    Currency

    Select the currency of the risk cover. This can be left blank if there is no Value or you do not wish to specific a currency. All currencies configured for the Organization are available.

  1. Each risk cover can have an attached certificate, which can optionally added when the risk cover is created. If you save the new risk cover without adding a certificate, it can be added later - see Adding Certificates to Existing Risk Covers below.

    Certificate documents attached to risk covers can be edited and replaced, and have versions tracked, in the same way as other contract library documents. See Edit documents for more information.

    To add a risk cover certificate:

    1. Click Add File.

      The Add File window is displayed.

    2. Click Choose File to select the risk cover certificate to add. You can also drag and drop the document from Windows Explorer.

      Warning If there is a problem with the selected document, you cannot upload it. Errors are indicated by a red warning triangle fa-exclam-triangle-red. Move the mouse over the icon to see an explanation of the error, and make the correction before trying to upload the document.

      You can click Remove File to remove the selected document, if necessary.

    3. Edit the Name of the document if required.

    4. Click Add File to upload the document to AVEVA Contract Risk Management.

      Progress bars display the progress of the upload. If the upload is taking too long, you can click Cancel. This button is only visible if there is a pending upload.

    5. If the upload failed, you can click Retry Failed to attempt the upload again.

    6. Click Close once the upload is complete or cancelled.

      The attached risk cover certificate is displayed.

      Click fa-trash Remove File if you need to delete this document.

  2. Click Save to add the risk cover to the contract.

    A confirmation message is displayed.

    Add certificates to existing risk covers

    Each risk cover can have an attached certificate. Certificate documents attached to risk covers can be edited and replaced, and have versions tracked, in the same way as other contract library documents. See Edit documents for more information.

    To attach a certificate document to an existing risk cover:

    1. Navigate to the home page of the contract.

    2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

      Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

      The Risk Covers section of the Contract Details page is displayed.

    3. Click the Add Certificate icon for the risk cover to which you want to attach a document.

      The Add Certificate page is displayed.

    4. Click Choose File to select the risk cover certificate to add. You can also drag and drop the document from Windows Explorer.

      Preview documents attached to risk covers

      1. Navigate to the home page of the contract.

      2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

        Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

        The Risk Covers section of the Contract Details page is displayed.

      3. Click the icon for the risk cover document you want to view.

        The File Details page is displayed.

      4. Click the link for Source Name.

        A window containing the attached document is displayed.

        Edit risk covers

        1. Navigate to the home page of the contract.

        2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

          Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

          The Risk Covers section of the Contract Details page is displayed.

        3. Click the for the risk cover you want to edit.

          The Risk Cover Details page is displayed.

        4. Edit the information as required in the relevant fields.

          Delete risk covers

          1. Navigate to the home page of the contract.

          2. Click Embedded Image (65% Scaling) (LIVE) and select Risk Covers from the menu.

            Note Alternatively you can access the Details page from the Project/Dept summary page. Click the fa-sort-down icon for the required contract, and select Risk Covers from the menu.

            The Risk Covers section of the Contract Details page is displayed.

          3. Click the for the risk cover you want to delete.

            A warning message is displayed.

          4. Click OK.

            A confirmation message is displayed.
