Contract library document tags

Tagging provides users with the ability to categorize and group documents. This categorization provides better management and reporting capabilities.

Tags can be applied to documents from tag groups created at contract and project/dept level.

You can quickly see which documents have been tagged by looking at the columns in the library. Columns are displayed for each tag group, listing the tags assigned to the document (if any).

To tag a contract document:

  1. Navigate to the contract library.

  2. Click the icon for the document you want to tag.

    The File Details page is displayed. Any existing tags are listed in the Tags section, arranged by the tag group to which the tags belong.

  3. Click the icon.

    The Apply Tags window is displayed.

  4. Start to type the tag name in the field.

    A list of tags that match the text you have entered is displayed.

    Alternatively, click in the field to display a list of all tags.

  5. Select the required tag from the list.

    The tag is added to the list of tags selected for the document.

  6. You can create a new tag, which is added to an existing contract or project/dept tag group.

    1. Start to type the tag name in the field. If no tag which matches the text is found, you are given links to add the new tag to the existing tag groups.

    2. Click the link for the tag group you want to add the tag to.

      The tag is added to the selected tags.

  7. When you have applied all required tags, click OK.

    The tags you have applied are listed in the Tags section, arranged by the tag group to which the tags belong.

To view a document's tags:

  1. Navigate to the contract library.

  2. Click the icon for the document you want to view the tags for.

    The File Details page is displayed. The tags are listed in the Tags section, arranged by the tag group to which the tags belong.

  3. Click the name of a tag to display a list of documents in the contract to which the tag has been applied.

    Note The communications in the contract to which the tag has also been applied are not shown.

    To remove a tag from a document:

    1. Navigate to the contract library.

    2. Click the icon for the document you want to tag.

      The File Details page is displayed. Any existing tags are listed in the Tags section, arranged by the tag group to which the tags belong.

    3. Click the x icon for the tag you want to remove.

      The tag is removed from the document.

      You can also remove tags from the Apply Tags window.
