Using field substitution documents

There are several areas within AVEVA Contract Risk Management where the field substitution functionality can be used. The following diagram illustrates the process that must be followed for AVEVA Contract Risk Management to populate documents with the corresponding information from the system.


To use field substitution in AVEVA Contract Risk Management:

Create a Microsoft Word Document with custom fields. See Create substitution fields in Microsoft Word 2016 and Office 365.
In order for custom fields to be populated with the required information, exact text must be used. To see a list of the text that must be used refer to the following:

To create custom fields for the tenders see Tender fields.

To create custom fields for the contracts see Contract and communication fields.

To populate documents with the contractor user's information see Contractor fields.

To populate documents with the tender administrator's information see Tender administrator and company user Fields.
Note You must generate field substitution documents from a template in order for the functionality to work. Documents containing custom fields copied from the library or added from your local drive will not contain the extracted information.

Upload the document to the reference library. For more information, see Reference documents.

Create a document template. See Create a document template for more information.

Generate a document from the document template as required.
