Tender teams

A tender team consists of:
-
One or more Tender Administrators with full access to the tender.

Any number of company users whose access to areas of the tender depends on their user role permissions.
The user who created the tender is automatically assigned as a tender administrator. Other users can be promoted to tender administrator at any time.
Only tender team members who have Confidential access can access and edit confidential information within the tender. This includes financial information, confidential custom fields, and any documents marked as Confidential.
Note Users with the Audit Access to Tenders in Business Unit and View All Business Unit Projects & Tenders user role permissions have read-only access to all functionality in all tenders, e.g. for auditing purposes.
The following users can add and manage tender team members:

Tender Administrators
-
any tender team member who has the Tender- Change Team and Leads permission

any other users who have the View All Business Unit Projects & Tenders and Tender - Change Team and Leads permissions
View tender team members

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed. The list of tender team member is shown at the bottom of the page.
Field
Description
Tender Administrators
If an icon is displayed (
), the user is a tender administrator.
Login Enabled
Indicates whether the user has an enabled login account.
Name
The name of the tender team member. Click to view their contact details.
Role
The user role that the tender team member is assigned to.
Position
The tender team member's job title or position within the Organization.
Email
The email address of the tender team member.
Phone
The telephone number of the tender team member.
Confidential Access
Indicates whether the user has confidential access for the tender.
Add tender team members

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Click Add Team Members.
The Company User Search page is displayed.

Enter values as required for the relevant search criteria.

This option refers to the text you enter in the Search For field. Select whether you want the search to return results which Begins With, Contains or Equals the text you enter in the Search For field. |

Enter the text you want to search on. Tip Enter the % character to perform a wildcard search, e.g. % by itself to return all results or man% to return all results beginning with man. |

Click Search.
The company users which match the search criteria you entered are displayed.
Tip You can also use the A-Z search area to search for company users by the initial letter of their name.

Select the team members you want to add.

Click Add.
A warning message is displayed.
Note If the users you are adding are not already members of the project/dept team for the project/dept the tender is located in, they will be automatically added.

Click OK.
A confirmation message is displayed.
Promote team members to Tender Administrator

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Click the
Promote icon for the team member you want to make an Administrator for the tender.
A confirmation message is displayed and a
icon is displayed beside the promoted team member.
Demote Tender Administrators
Warning If you demote yourself, you will not be able to reinstate yourself as Tender Administrator.

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Select the
Demote icon for the team member you want to demote.
A confirmation message is displayed and the
Administrator icon is removed from the team member's name.
Assign confidential access to tender team members
Team members with confidential access can view and edit confidential information within a tender. Confidential information includes financial information and any documents that have been marked as confidential.

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Click the
icon for the team member whose permissions you want to change.
The Team Member Privileges page is displayed.

Select Confidential Access.
-
Click Save.
A confirmation message is displayed.
Assign team members to schedule Items
Only Tender Administrators can assign team members to schedule items.
Note The user who created the tender is automatically assigned as the owner of all schedule items as well as Tender Administrator access.
To assign a team member to a schedule item:

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Click the
drop-down arrow for the schedule item to which you want to assign a user, and select
Assign Users from the menu.
The Assign Users page is displayed.

Select the team members you want to assign as users.
-
Click Save.
A confirmation message is displayed.
Remove members from the tender team

Navigate to the home page of the tender.

Click
and select
Tender Details from the menu.
The Tender Details page is displayed.

Select the team members you want to delete.
-
Click the
icon.
A warning message is displayed.

Click OK.
A confirmation message is displayed.
