Create an ad hoc review

Users with the following contract roles can create an ad hoc communication review:

Contract Owner
-
Contract Administrator
-
Contract Process Owner
-
Company Representative
To create an ad hoc review:

On the communication register, click the Title of the communication you want to create an ad hoc review for.
The Communication Details page is displayed.

Click the Reviews tab.
A list of reviews for the communication is displayed.

Click Create a Review.
The Create Ad Hoc Review page is displayed.

Enter information as required in the relevant fields.
Field
Description
Title
The subject of the review.
Reviewers
You can select company users, business process roles and contract roles to be reviewers. See Assign reviewers below.
Decision Set
Select the decision set from the drop-down list.
Review Guidelines
The instructions for completing the review.
Note This is a Rich Text field; use the buttons on the field toolbar to add formatting to the text.
Next Steps After Review
The instructions for what should happen once the review is completed.

Due Date
The date that the review is due.
Due Date Type
Select Target (based on Best Practice) or Deadline (based on contractual obligations).
Notification Preferences
Select how you as the review administrator will be notified about the status of the review:

Do not send notifications - review progress will be tracked manually.

Notify Review Administrator only when all reviewers have provided a Review Status - notifications will be sent when all reviewers have provided a review status, and when the final decision is made.

Notify Review Administrator at all times - notifications will be sent when a reviewer makes a contribution, when they have all provided a review status, and when the final decision is made.
Assign Confidentiality Permission to Reviewers
Select if you want the reviewers to be able to see financial information and confidential documents attached to this communication.
Allow Reviewers to Edit Communication Documents
Select if you want the reviewers to be able to edit any documents attached to the communication and to internal notes on the communication.
This option does not affect the ability of the reviewers to add documents to the review.
Note Any reviewer with an appropriate contract role for the contract can edit communication documents regardless of this option.

Click Assign Review.
The Reviews tab for the communication is displayed.
Assign reviewers
To add a company user:

Click the
icon, and select
Select Company User.
The Assign Company Users page is displayed.

Select values for any or all of the desired search criteria.

Select a specific project/dept or All from the drop-down list. |

Select whether to search on Last Name, First Name or Position. |

Criteria |
This option refers to the text you enter in the Search For field. Select whether you want the search to return results which Begins With, Contains or Ends With the text you enter in the Search For field. |

Search For |
Enter the text you want to search on. Tip Enter the % character to perform a wildcard search, e.g. % by itself to return all results or man% to return all results beginning with man. |

Click Search. All company users who match the search criteria are displayed.

Select the company users you want to assign as reviewers.

Click OK.
To add a business process role:

Click the
icon, and select
Select Business Process Role from the menu.
The Assign Business Process Roles page is displayed.

Select the business process roles you want to assign as reviewers.

Click OK.
To add a contract role:

Click the
icon, and select
Select Contract Role from the menu.
The Assign Contract Roles page is displayed.

Select the contract roles you want to assign as reviewers.
Note The only contract roles displayed are those which have company users or business process roles assigned.

Click OK.
To set required reviewers:
In the list of reviewers, select Required for each reviewer who must complete their review.
