Version tracking

Communication attachments will often go through many changes before the communication is sent. Maintaining accurate documents is an integral part of the contracting process. AVEVA Contract Risk Management allows users to maintain track document versions in communication documents, and retains previous document versions that can be accessed at any time.
If version tracking is enabled, a (V*) suffix is appended to the document name. If the document has only one version, it will be displayed as (V1). As new versions are added, the version number is incremented by one (V2, V3, ...).
The attachments displayed on the Communication Details page are always the latest versions of the documents.
Note Version tracking is automatically enabled for a communication document if a member of the Responsible Party for a communication review selects to edit it. See Edit communication documents as a reviewer.
Enable or disable version tracking for a communication attachment

On the Communication Details page, click the
icon for a document to display its details.
The Attachment Details window is displayed.

Click the
Version Tracking button.

If you are enabling version tracking, a confirmation message is displayed, and the document is now shown as V1.
If you are disabling version tracking, a confirmation message is displayed, warning that all previous versions of the document will be permanently deleted. Click OK to disable version tracking and delete old versions.
View communication attachment versions

On the Communication Details page, click the
icon for a document to display its details.
The Attachment Details window is displayed.

Click the Versions tab.
A list of document versions is displayed.
Preview an old version

On the Communication Details page, click the
icon for a document to display its details.
The Attachment Details window is displayed.

Click the Versions tab.
A list of document versions is displayed.

Click the number in the Version column for the version you want to view.
The Attachment Details page for the version is displayed.

Click the
Download button.
Select to open or save the document.
Make an older version the current version

On the Communication Details page, click the
icon for a document to display its details.
The Attachment Details window is displayed.

Click the Versions tab.
A list of document versions is displayed.

Click
for the version you want to make the current version.
The older version is added as a new version and the version number is incremented by 1 (from the previous current version, not from the version you have reverted to). A confirmation message is displayed.
Delete an old version

On the Communication Details page, click the
icon for a document to display its details.
The Attachment Details window is displayed.

Click the Versions tab.
A list of document versions is displayed.

Click
for the version you want to delete.
A confirmation message is displayed.

Click OK.
The Attachment Details window is refreshed.
