Document versions

Documents will often go through many changes as the tender or contract progresses. Maintaining accurate documents is an integral part of the contracting process. AVEVA Contract Risk Management allows users to maintain track document versions and retains previous document versions that can be accessed at any time.

Download the current version

  1. Navigate to the page containing the document whose current version you want to download.

  2. Click the icon for the document version you want to download.

    The File Details page is displayed.

  3. Click the icon to download the current version.

Download an earlier version

  1. Navigate to the page containing the document whose earlier version you want to download.

  2. Click the icon for the document you want to download.

    The File Details page is displayed.

  3. Click the icon in the File Versions section assigned to the document version you want to download.

    The File Version Details page is displayed.

  4. Click the icon to download the selected version.

    Preview an earlier version

    Previewing old documents is only possible for documents that have version tracking enabled.

    1. Navigate to the page containing the document you want to preview.

    2. Click the icon for the document you want to preview.

      The File Details page is displayed.

    3. In the File Versions section of the page, click the icon for the version you want to preview.

      The File Version Details page is displayed.

    4. Click the Source Name of the document version.

      The document is displayed in a new browser window.

      Delete the current version

      1. Navigate to the page containing the document version you want to delete.

      2. Click the icon for the document you want to delete.

        The File Details page is displayed.

      3. Click the icon to delete the current version.

        A warning message is displayed.

      4. Click OK.

        A confirmation message is displayed.

        The latest version of the document on the system now becomes the current version.

        Delete an earlier version

        Warning When an earlier document version is deleted, it cannot be recovered.

        1. Navigate to the page containing the document you want to work on.

        2. Click the icon for the document whose earlier version you want to delete.

          The File Details page is displayed.

        3. Click the icon for the document version you want to delete.

          A warning message is displayed.

        4. Click OK.

          A confirmation message is displayed.

          Restore an earlier version

          1. Navigate to the page containing the document you want to change.

          2. Click the icon for the document you want to change.

            The File Details page is displayed.

          3. Click the icon for the document version that you want to restore.

            The Capture Reason for Change page is displayed.

          4. Explain the reason for changing the document version in the Reason for Change field.

          5. Click Save.

            A confirmation message is displayed. The restored version is now the current version.
