Reserve documents

When documents are reserved for editing, no other team member can access the document (with the exception of users who have been granted the Documents - Clear Document Reservation permission, or are a tender administrator, or have an appropriate contract role).

The Reservation Status column lists the reservation status of individual documents using the following icons:

  • Documents displaying the icon are not reserved for editing.

  • Documents displaying the icon are reserved for editing by you.

  • Documents displaying the icon are reserved for editing by another user.

Reserve a document

  1. Navigate to the page containing the document you want to reserve.

  2. Click the icon for the document you want to reserve.

    The Edit Options page is displayed.

  3. Select Reserve and download file for editing.

  4. Click OK.

    The Edit Offline page is displayed.

  5. Click the document title to open or download the document for editing.

    A confirmation message is displayed.

Unreserve a document

In order to unreserve a document, one of the following criteria must be fulfilled:

  • The document must have been reserved by you.

  • You are a Project/Dept Administrator.

  • You must be a team member with a user role that includes the Documents - Clear Document Reservation permission.

To unreserve a document:

  1. Navigate to the page containing the document you want to unreserve.

  2. Click the icon for the document you want unreserve.

    The Edit Options page is displayed.

  3. Select Add a new version of the file or Abandon your changes and release your editing reservation.

  4. Click OK.

    A confirmation message is displayed.

    Clear document reservations

    AVEVA Contract Risk Management allows users with certain permissions the ability to clear document reservations reserved by other users. You must be a team member with the Documents - Clear Document Reservation permission to clear document reservations reserved by other users. Tender administrators can also clear document reservations.

    To clear a document reservation:

    1. Navigate to the page containing the document whose reservation you want to clear.

    2. Click the icon for the document whose reservation you want to clear.

      Note Documents reserved by another user display the icon.

      The Edit File page is displayed.

    3. Click the icon to clear the document reservation.

      A warning message is displayed.

    4. Click OK.

      A confirmation message is displayed.
