Contractor list

The contractor list includes all contractors that were involved with the tender at any stage of the tendering process. This includes:

contractors that were included in any shortlist
-
contractors that were recipients of a tender dispatch
-
contractors that were awarded a contract
The following users can view the contractor list:
-
Tender administrators.
-
Any tender team member.
-
Any other users who have the View All Business Unit Projects & Tenders permission.

Any user with the Business Unit - Audit Access to Tenders in Business Unit and the Access Across all Business Units user role permissions
Viewing a tender's contractor list

Navigate to the home page of the tender.

Click the Contractor List tab.
The Contractor List page is displayed, listing all contractors associated with the tender, and the stage to which the contractor has progressed.
Column
Description
(Contractor Login Account Alerts)
Indicates if the status of contractor login accounts will affect the receipt of communications from the company, including dispatch requests. Click the icon for the contractor to open the Contractor Login Account Alerts window.

(Trading Recommendation Status)
The trading recommendation for the contractor:

We can work with this contractor
-
We can work with this contractor with restrictions
-
We cannot work with this contractor
Contractor
The name of the contractor..
Ref No
The unique reference of the contractor.
Tender Stage
The latest schedule item that the contractor was selected in (latest relative to the tender schedule rather than chronologically). This can be a Shortlist, Despatch/Tracking or Award schedule item.
Notes
The number of notes attached to the contractor for this tender. See Viewing Contractor Notes below.

Manage contractor tender teams
Company users have the ability to add and remove contractor contacts for a tender through a contractor list. This allows the primary contact for the contractor to be changed throughout the lifecycle of the tender.
Note Contact permissions, including confidential access to the tender, can only be changed by the contractor's primary contact.
Add contacts to a contractor team

On the Contractor List tab, click the
icon for the contractor whose team members you want to change.
The Manage Contractor Contacts page is displayed.

Click the
icon.
The Contractor Contacts page is displayed listing all members of the contractor team.

Select the users you want to add to the contractor team.

Click Add.
The Manage Contractor Contacts page is displayed with the new contractor team members.
Remove contacts from a contractor team

On the Contractor List tab, click the
icon for the contractor whose team members you want to change.
The Manage Contractor Contacts page is displayed.

Click the
icon for the team member you want to remove.
A warning message is displayed.

Click OK.
The Manage Contractor Contracts page is displayed.
Contractor login account alerts
The Contractor Login Account Alerts Information window displays the following for a contractor, where applicable.

There are no contractor primary contacts with enabled login accounts. |
There is no primary contact for the contractor, who can be added to the tender team (manually or automatically when a dispatch is sent). Click Edit Contractor Details to add primary contacts as required - see Contractor contacts. |

There are no contractor team members with enabled login accounts. |
If a dispatch is sent to the contractor, no member of the contractor team will be able to view or respond to it. Click Manage Contractor Team Members to add or edit team members as required - see Managing Contractor Tender Teams above. |
Contractor notes
Add a note to a contractor

On the Contractor List tab, click the
icon for the contractor you want to add a note to.
The Add Note page is displayed.

Enter the note in the Note Text field.

If you want to add a related document to the note, click Browse and select the document you want to add.

Click Save.
A warning message is displayed.

Click OK.
Note If a document has been attached, a progress window may be displayed showing the progress of the upload.
A confirmation message is displayed.
View contractor notes

On the Contractor List tab, click the number in the
column for the required contractor.
The Contractor Notes page is displayed.

To view attached documents, click the
icon.
Tip You can add additional notes on this page.
