Communication templates

Communication templates define the configuration of formal contract communications between company and contractor, either from the company to the contractor, or from the contractor to the company. They can also be created for internal communications between company users.

Each communication template has two corresponding workflow templates:

  • Routing - Used to send notifications, create reviews and log information about a Draft communication.

  • Notification - Used to send automatic notifications when a communication is sent or its state is changed, e.g. from Awaiting Agreement from Recipient to Agreed.

A communication template also defines:

  • The routing path for the communication (i.e. between the company and contractor, or internal to the company) - see Communication routing paths for more information.

  • The communication owner - the company user who is responsible for this type of communication.

  • The official named sender and recipient of the communication (dependent on the routing path; cannot be edited directly).

  • Whether the communication requires a response (agreement, reply or both).

  • The obligation which will be created if the communication requires a response.

  • Business-specific custom fields for the communication (see Custom field templates for more information).

  • Whether the communication records progress against contract deliverables.

  • The type of financial and schedule impact values for the communication.

View communication templates

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract Configuration page.

  2. Select the Communication Templates tab.

    The Communication Templates page is displayed.

For the Organization, business unit and project/dept, the list of communication templates includes all those created in a higher-level Best Practice Library which you have permission to see. The Best Practice Library Level and Best Practice Library Name columns display where the business process role was created.

For example, at project/dept level, you can view the business process roles created in the parent business unit and also any communication templates created at Organization level.

For the contract, the list of communication templates includes those created for the contract and those copied from a higher-level Best Practice Library.
