Manage reviewers

Users with the following contract roles can manage reviewers:

Contract Owner
-
Contract Administrator
-
Contract Process Owner
-
Company Representative
Any reviewer can also add company users as additional reviewers.
Add reviewers
Additional users, business process roles and contract roles can be added as reviewers to an existing review which has not been cancelled or completed. This is possible for both best practice reviews (created by workflows) and ad hoc reviews.
An email notification is sent to new reviewers as long as they were not already assigned to the review, for example, through a different business process role.
To add a company user:

Access the Reviewers tab for the review (see Access communication reviews as a reviewer).

Click the Manage Reviewers button.
The Manage Reviewers window is displayed.

On the Company Users row, click the
Edit button.
The Assign Company Users window is displayed.

Select values for any or all of the desired search criteria.
Option
Description
Business Unit
Select a specific business unit or All from the drop-down list.
Project/Dept
Select a specific project/dept or All from the drop-down list.
Search On
Select whether to search on Last Name, First Name or Position.
Criteria
This option refers to the text you enter in the Search For field.
Select whether you want the search to return results which Begins With, Contains or Ends With the text you enter in the Search For field.
Search For
Enter the text you want to search on.
Tip Enter the % character to perform a wildcard search, e.g. % by itself to return all results or man% to return all results beginning with man.

Click Search. All company users who match the search criteria are displayed.

Select the company users you want to assign as reviewers.

Click OK.
The new review assignment is displayed on the Manage Reviewers window.
To add a contract role:

Access the Reviewers tab for the review (see Access communication reviews as a reviewer).

Click the Manage Reviewers button.
The Manage Reviewers window is displayed.

On the Contract Roles row, click the
Edit button.
The Assign Contract Roles window is displayed.

Select the contract roles you want to assign as reviewers.
Note The only contract roles displayed are those which have company users or business process roles assigned.

Click OK.
The new review assignment is displayed on the Manage Reviewers window, and all members of the contract role who were not previously assigned to the review are added as reviewers.
To add a business process role:

Access the Reviewers tab for the review (see Access communication reviews as a reviewer).

Click the Manage Reviewers button.
The Manage Reviewers window is displayed.

On the Business Process Roles row, click the
Edit button..
The Assign Business Process Roles window is displayed.

Select the business process roles you want to assign as reviewers.

Click OK.
The new review assignment is displayed on the Manage Reviewers window, and all members of the business process role who were not previously assigned to the review are added as reviewers.
Set required reviewers
In the list of reviewers, select Required for each reviewer who must complete their review.
Remove reviewers
Users can be removed as reviewers from an existing review which has not been cancelled or completed, provided they have not started their review.
Business process roles and contract roles can be removed from a review which has not been cancelled or completed only if no members of the role have started their review.
This is possible for both best practice reviews (created by workflows) and ad hoc reviews.
Note There must always be at least one user, business process role or contract role assigned to the review. You cannot remove the final assignment.
Any reviewer assigned to the review, and users with the following contract roles can remove company users, business process roles and contract roles from the review:

Contract Owner
-
Contract Administrator
-
Contract Process Owner
-
Company Representative
Warning If you only have one assignment for a review (as a user or as a member of a business process role or contract role) and are not a member of the contract roles listed above, you will be unable to access the review if you remove your assignment.
To remove a review assignment:

Access the Reviewers tab for the review (see Access communication reviews as a reviewer).

Click the Manage Reviewers button.
The Manage Reviewers window is displayed.
The individual company users, contract roles and business process roles that have been assigned to the review are listed in separate sections.

Click the
Remove button for the company user, contract role or business process role you want to remove as a reviewer.

A confirmation message is displayed. Click OK.
The assignment is removed from the review. A notification email is sent to the individual reviewers only if they are no longer assigned to the review at all (i.e. they are not assigned invidividually or through another contract role or business process role).
