Adding External Messages

If messages have been sent from outside AVEVA Contract Risk Management, these can be added to the system for information purposes. You can reply to these messages via AVEVA Contract Risk Management as necessary.

Note Attached documents must be valid message files, i.e. *.msg, *.eml, *.rtf, or *.zip files.

The following users can add external tender messages:

  • tender administrators

  • any tender team member with the Tender - Messages View Access and Tender - Messages Write Access user role permissions

Confidential messages cannot be created by team members without Confidential access, and cannot be sent to contractors who do not have Confidential access to messages.

To upload an external message to AVEVA Contract Risk Management:

  1. Navigate to the home page of the tender. If necessary, click the Messages tab.

  2. On the Messages page, click Create Message and select Add External Message from the drop-down menu.

    The Add External Message page is displayed.

  3. Enter information as required in the relevant fields.

    Note Fields marked with an asterisk fa-asterisk are required.

    Field

    Description

    Sent by Contractor

    Select the contractor who sent the message.

    Sent by Contact

    Select the name of the contractor contact who sent the message.

    Subject

    The subject of the message.

    Message Body

    The text of the message.

    Requires Response

    Select Yes if you require a response from the message recipients.

    Response Due By

    The date by which you require the response.

    Is Confidential

    Select whether the message can only be seen by tender team members with permission to view tender messages who also have Confidential access.

    Only users with Confidential access can set this option.

  4. Click Browse to locate the document that you want to add.

  5. Click Save.

    The document is uploaded and the new message is displayed on the Messages page with the Inbox filter applied.
