Manually add line items

You can add line items to a contract by manually creating them or by importing an Excel document containing the contract setup data (see Import contract setup data).

Users with the following contract roles can add line items:

  • Contract Owner

  • Contract Administrator

  • Company Representative

To manually add line items for a contract:

  1. Navigate to the home page of the contract you want to work on.

  2. Click the Contract Breakdown tab to view all line items already added to the contract, grouped by the breakdown item that they are associated with (if configured for the contract).

  3. From the Actions menu, select Create Line Item.

    You can also add line items to a specific breakdown item. Click the fa-sort-down drop-down arrow for the breakdown item, and select Create Line Item.

    The Create Line Item window is displayed.

  4. Enter information as required in the relevant fields.

    Note Fields marked with an asterisk fa-asterisk are required.

    Breakdown Item Title

    All line item types

    Only displayed if breakdown items have been configured for the contract.

    The name of the contract breakdown item that the line item is associated with.

    This cannot be changed if you selected a specific breakdown item to add line items to.

    Type

    All line item types

    The type of line item: Lump Sum, Milestone Payment, Progressive Payment, Reimbursable or Unit Rate.

    Line Item Code

    All line item types

    The code of the line item.

    Note A line item in a call off can have the same code as one in the parent framework agreement. Both are displayed on the Expenditure tab for the call off.

    Title

    All line item types

    The name of the line item.

    Supplementary Code

    All line item types

    An additional code which can be used to identify the line item.

    Control Account Code

    If control accounts have been defined, all line item types

    The code of the control account that the line item is associated with. These are defined for the project/department (see Control accounts).

    Type the name or code of the control account you want to associate the line item with.

    Currency

    All line item types

    The currency of the line item.

    Capture Progress

    Lump Sum, Milestone Payment, Progressive Payment and Unit Rate only

    Indicates if the line item captures progress. See Progress measures for more information.

    Unit of Measure

    Unit Rate only

    The unit of measure of the line item - see Units of measure for details of the default values.

    Unit Rate

    Unit Rate only

    The price per unit of the line item, in the line item currency.

    Committed Quantity

    Unit Rate only

    The maximum quantity of the line item that should be used. This has been negotiated between the company and contractor, and committed to in the contract.

    Initial Commitment

    All types except Unit Rate

    The total price of the line item as agreed in the contract.

  5. Click Save and Continue to add the line item and clear the fields so you can add another one. The Breakdown Item and Type are persisted although the values selected for these can be changed if required.

    Alternatively, click Save and Close to add the line item and close the window.

    The Contract Breakdown tab is refreshed.
