Update contract rates

You can update the details of a rate in the Contract Configuration even if it is currently in use in a Reimbursable line item. Rates can be manually updated, or they can be updated in bulk by importing the Contract Setup spreadsheet.

Note A rate is in use if it is associated with a Reimbursable line item that is used in an expenditure communication. For rates that are in use, only the Title and Supplementary Code can be updated.
Users with the following contract roles can update contract rates:

Contract Owner
-
Contract Administrator
-
Company Representative
Manually update rates
To manually update the details of a contract rate:

Navigate to the Contract Configuration page.

Click the Rates tab to display the rates which have been added to the contract.

Click the row of the rate you want to edit.
The View Rate dialog box is displayed.

Click
Edit.
The Edit Rate window is displayed.

Edit the information as required in the relevant fields.
Note Fields marked with an asterisk
are required.

Rate Code
Only if the rate is not in use
The code of the rate. Unique to the contract. Cannot be updated if the rate is in use.
Title
Always
The name of the rate.
Supplementary Code
Always
An additional code which can be used to identify the rate.
Unit of Measure
Only if the rate is not in use
The unit of measure of the rate - see Units of measure for details of the default values.
Rate
Only if the rate is not in use
The rate per unit.
Currency
Only if the rate is not in use
The currency of the rate - this can be any of the currencies available for use in the contract.

Click Save to update the rate.
The View Rate window is displayed. Click
to close the window and display the Rates tab.
Update rates by importing a document
If you import a document which contains rates that have already been added to the contract, any rates for which values in the document have changed will be updated in the contract, provided they can be updated as listed in the following table.
Alternatively, you can create a new rate version by supplying a different Rate and a Valid From date.
Note The rate is identified by its Rate Code. If the Rate Code has changed, a new rate is created.
