Edit custom field template

A custom field template can only be edited if it is not In Use.

The following users can edit custom field templates:

  • Organization Best Practice Library: users with the Maintain Organisation Best Practice Library permission

  • Business unit Best Practice Library: users with one of the following sets of permissions:

    • the Manage Business Unit Best Practice Library permission for the business unit

    • the Access Across Business Units AND the Manage Business Unit Best Practice Library permission

  • Project/dept Best Practice Library: the Project Administrator

To edit a custom field template:

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept.

  2. Select the Custom Field Templates tab.

    The Custom Field Templates page is displayed.

  3. Click the fa-sort-down drop-down arrow for the template you want to edit, and select Edit Details from the menu.

    The Edit Custom Field Template page is displayed.

  4. Edit the information as required in the relevant fields.

    Field

    Description

    Short Grid Column Name

    The short name of the custom field template, for use in column headings.

    Name

    The name of the custom field.

    Type

    The type of the custom field.

    Mandatory When Displayed

    Select Yes to make the custom field a required one.

    Confidential Access

    Select Yes to make the custom field confidential.

    Visible on Contractor Portal

    Select Yes to make the custom field visible on the Contractor Portal.

    Read Only

    Select Yes to make the custom field read-only.

    Always Editable

    Select Yes to allow the value of the custom field to be edited regardless of the state of the communication, i.e. so that it can be edited when the communication is no longer in Draft.

  5. If you selected Pick List Select Single as the Type of custom field, you can edit the list of pick list options.

    1. Under Choose Pick List Options, add options by entering the name of the option in the Description field and clicking Add.

    2. Select the default option by clicking next to it.

    3. You can delete options by clicking or edit the option by clicking . Click Update after editing to confirm any changes made to an option.

  6. Click Save.

    The Custom Field Templates page is displayed.
