Edit contract obligations

Users with the following contract roles can edit contract obligations:

Contract Owner
-
Contract Administrator
-
Company Representative
Members of the responsible party for the obligation can change the State of the obligation - see Update the state of a contract obligation.
Note Obligations initiated automatically by communications which require response can be edited manually. Updating the due date of these obligations also updates the due date of the initiating communication.
Warning You cannot change the recurring options for an obligation once it has been created.
To edit a contract obligation:

Navigate to the home page of the contract you want to work on.

Click the Obligations tab.

Click the obligation to open its details pane on the right-hand side of the page.

Click the
icon in the top-right of the obligation details pane.
The Edit Obligation window is displayed.

Edit the information as required in the relevant fields.
Note Fields marked with an asterisk
are required.
Field
Description
Title
The title of the obligation.
Clause
The contract clause that contains the obligation (if relevant).
Obligation Text
The text of the contract obligation. You can paste text into this field, for example from the contract document.
Note This is a Rich Text field; use the buttons on the field toolbar to add formatting to the text.
Owner
Select the owner of the contract obligation:

Company

Contractor
Note You cannot assign contractor contract roles as the responsible party unless this is selected.

Internal
Note If you change the Owner from Contractor to another option when a contractor contract role is selected as the responsible party, you will receive a warning. Select a new responsible party as necessary.
Responsible Party
Click
to search for any valid company user, contract role or business process role to assign
as the responsible party. The responsible party will receive any due date and reminder
notifications.
Note Contract roles and business process roles are invalid if they have either no users or have only disabled users.
Only company users who have a contract role directly or through a business process role can be selected.
You can only select contractor contract roles if you selected Contractor as the Owner.
If the responsible party is updated, both the old and new members of the responsible party will receive an email notification of this. Note that any existing notifications must be manually dismissed.
State
Select the status of the contract obligation:

Not Started
-
In Progress
-
Completed
Due Date
Select the type of due date for the contract obligation, on which a notification will be generated for the responsible party:

None. The obligation does not have a due date.

Exact Date. Select an exact date and time for the due date of the obligation.

Relative to Milestone. Select the criteria used to calculate the due date of the obligation, relative to a milestone date (which can be a user-defined milestone date or a contract date such as Award Date):

Enter the number of days/weeks/months/years for the time period.

Select Days, Weeks, Months or Years from the drop-down list.

Select whether the specified time period is After, Before or On the milestone date.

Select the milestone date which will be used to calculate the due date.
Note If the milestone date is updated, the due date of the obligation is recalculated and the Overdue state updated if the obligation is no longer overdue.
Note If the due date of the obligation is changed, the reminder date (if any) of the obligation is also recalculated, and the Overdue state updated if the obligation is no longer overdue. An email notification is sent to the responsible party.

Reminder Date
Select the type of reminder date for the obligation, on which a notification will be generated for the responsible party:

No. The obligation does not have a reminder date.

Relative to the due date (cannot be selected if None was selected for Due Date). Select the criteria used to calculate the date on which a notification will be triggered for the obligation:

Enter the number of days/weeks/months/years for the time period.

Select Days, Weeks, Months or Years from the drop-down list.
Note If the due date of the obligation is changed or is recalculated because a milestone date is updated, the reminder date of the obligation is also recalculated.

Click Save.
The Edit Obligation window closes and the obligation details pane is refreshed to show the updated obligation.
Note If the obligation is part of a series, only the current obligation is updated.
