Communication tags

Tagging provides users with the ability to categorize and group communications. This categorization provides better management and reporting capabilities.
Tags can be applied to communications from the following levels of tag groups:

Project/Dept
-
Contract
You can quickly see which communications have been tagged by looking at the columns in the communication register (change the view if necessary - see View communications). Columns are displayed for each tag group, listing the tags assigned to the communication (if any).
Apply tags to communications
You can tag a communication when you create it (see Create a communication). You can also apply a tag at any time from the Communication Details page.
Users with the following contract roles can tag a communication:

Contract Owner
-
Contract Administrator
-
Company Representative
-
Contract Budget Holder
-
Contract Requestor
-
Contract Process Owner
To tag a communication when you are creating it:

In the Tags field, click the Click here to apply Tags link.
The Apply Tags window is displayed.

Start to type the tag name in the field.
A list of tags that match the text you have entered is displayed.
Alternatively, click in the field to display a list of all tags.

Select the required tag from the list.
The tag is added to the list of tags selected for the communication..

You can create a new tag, which is added to an existing contract or Project/Dept tag group.

Start to type the tag name in the field. If no tag which matches the text is found, you are given links to add the new tag to the existing tag groups.

Click the link for the tag group you want to add the tag to.
The tag is added to the selected tags.

When you have applied all required tags, click OK.
The tags you have applied are listed, arranged by the tag group to which the tags belong.
To tag an existing communication:

Navigate to the home page of the contract you want to work on.

Select the communication for which you want to apply tags.
The Communication Details page is displayed. Any existing tags are listed in the Tags section, arranged by the tag group to which the tags belong.

Click Tags and select Add Tags from the menu.
The Apply Tags window is displayed.

Start to type the tag name in the field.
A list of tags that match the text you have entered is displayed.

View a communication's tags

Navigate to the home page of the contract you want to work on.

Select the communication for which you want to view the tags.
The Communication Details page is displayed. The tags are listed in the Tags section, arranged by the tag group to which the tags belong.

Click the name of a tag to display a list of communications in the contract to which the tag has been applied.
Remove tags from a communication

Navigate to the home page of the contract you want to work on.

Select the communication from which you want to remove a tag.
The Communication Details page is displayed. The tags are listed in the Tags section, arranged by the tag group to which the tags belong.

Click the x icon for the tag you want to remove.
The tag is removed from the communication.
