Communication notes

Internal notes can be added to communications. These are hidden from the contractor which ensures that all information remains internal to the company. Notes and their attachments can also be marked as confidential to restrict the contract roles who can view them.
View a communication's notes

On the communication register, click the Title of the communication you want to view the notes for.

The Communication Details page is displayed.

Click the Notes tab.

A list of the notes on the communication is displayed. This list includes:

Notes added directly on the Notes tab.

Notes added to communication reviews.

Add a note to a communication
-
On the communication register, click the Title of the communication you want to add a note to.
The Communication Details page is displayed.

Click the Notes tab.
A list of the notes on the communication is displayed.

Click Create an Internal Note.
The Create an Internal Note page is displayed.

Enter the Note Text.
Note This is a Rich Text field; use the buttons on the field toolbar to add formatting to the text.

If the note needs to be confidential, select Yes for Is Confidential.

You can attach a document to the note:

In the Add Attachment section, click the
icon.

Click Browse to select the document you want to add.

Enter the Name of the document.
-
Select whether the document Is Confidential.
If Is Confidential is set to Yes for the note, this option cannot be changed because the attachments are automatically Confidential.
Tip Click the
icon to add more documents.

Click Save to add the note to the communication.
The Notes tab for the communication is displayed.
View the details of a communication note

On the communication register, click the Title of the communication you want to view the note details for.
The Communication Details page is displayed.

Click the Notes tab.
A list of the notes on the communication is displayed.

Click the Note Text for the note you want to view:

For an internal note, the Internal Note Details page is displayed.

If the note has an attachment, click its name to preview it or the
icon to view its details or delete it.

For a communication review note, the Communication Review Details page is displayed, with the notes listed in the Communication Review Notes section.

Edit a communication note

On the communication register, click the Title of the communication you want to add a note to.
The Communication Details page is displayed.

Click the Notes tab.
A list of the notes on the communication is displayed.

Click the Note Text for the note you want to view.
The Internal Note Details page is displayed.

Select
Edit Details from the Actions menu.
The Edit an Internal Note page is displayed.

Edit the Note Text as required.
Note This is a Rich Text field; use the buttons on the field toolbar to add formatting to the text.

Change the Is Confidential option for the note, if desired.

You can add a document to the note:

In the Add Attachment section, click the
icon.

Click Browse to select the document you want to add.

Enter a name for the document in the Name field.

Select whether the document Is Confidential.
If the Is Confidential field for the note is set to Yes, this option cannot be changed because the attachments are automatically Confidential.

Click Save to add the note to the communication.
The Notes tab for the communication is displayed.
Delete communication notes

On the communication register, click the Title of the communication you want to add a note to.
The Communication Details page is displayed.

Click the Notes tab.
A list of the notes on the communication is displayed.

Click the Note Text for the note you want to view.
The Internal Note Details page is displayed.

Select
Delete from the Actions menu.
A warning message is displayed.

Click OK to confirm the deletion.
The Notes tab for the communication is displayed.
