Contract event templates

Contract events are created as templates. These templates can then be copied to any contract within the organization. Contract events are configured using event formulas. For example, a formula can be created and configured to calculate the actual spending on a contract compared with the approved contract expenditure. When the actual expenditure is approaching the approved expenditure value AVEVA Contract Risk Management can alert company users. This prior warning gives users time to check and curb any spending over-runs in order to keep costs down. Similarly, contract events can be configured to warn company users that risk covers are not attached or are due to expire which helps protect the organization against risk.

Create a contract event template

  1. Open the navigation bar. If necessary, click the Manage tab.

  2. Under Organisation Standards, click Contract Event Templates.

    The Contract Event Templates page is displayed.

  3. Click Create Contract Event Template.

    The Create Event Template page is displayed.

  4. Enter information as required in the relevant fields.

    Note Fields marked with an asterisk fa-asterisk are required.

    Field

    Description

    Name

    The name of the contract event.

    Description and Usage Notes

    A description of the contract event and any notes for its use.

    Event Formula Expression

    The event formula which will dictate when the event occurs.

    Alert Message

    The alert message text.

    Alert Level

    The type of alert. Select from:

    • Contractual Obligation - high

    • Best Practice - medium

    • Informative - low

    Display at Project/Dept

    Select Yes to display the alert on the project/dept home page.

    Set Notification Email

    Select Yes to send a notification email to the Contract Owner and/or Company Representative (as configured by the Administrator) when the event occurs.

    Copy to All Contracts on Contract Creation

    Select Yes to copy the contract event to each contract as the contract is created.

    Select No to save the template and store it in the event template library. For this event template to be used within an existing contract, users must manually copy this template to the individual contract.

    Protect Template and Cascade Changes

    Select Yes to prevent contract level users from disabling, deleting or editing the core details of this event. Changes made at the contract event template level to the event template details cascade to all associated contract events.

    Enable Polling on Creation

    Select Yes to allow contract level users to enable polling for the event when the event is created. This is dependent on the event having no associated reminders.

  5. Click Save to save the event template.

    A confirmation message is displayed.

View the details of contract event templates

  1. Open the navigation bar. If necessary, click the Manage tab.

  2. Under Organisation Standards, click Contract Event Templates.

    The Contract Event Templates page is displayed.

  3. Click the View Details icon for the contract event template you want to view.

    The Event Details page is displayed.

  4. Click the Contract Events Template link on the breadcrumb menu to return to that page.

    Edit contract event templates

    1. Open the navigation bar. If necessary, click the Manage tab.

    2. Under Organisation Standards, click Contract Event Templates.

      The Contract Event Templates page is displayed.

    3. Click the View Details icon for the contract event template you want to view.

      The Event Details page is displayed.

    4. Click the Edit icon.

      The Edit Event Template page is displayed.

    5. Edit the information as required in the relevant fields.

      Note Fields marked with an asterisk fa-asterisk are required.

      Contract event template formulas

      Event formulas dictate when the events occur.

      Edit contract event template formulas

      Note Event formulas that have been protected cannot be edited.

      1. Open the navigation bar. If necessary, click the Manage tab.

      2. Under Organisation Standards, click Contract Event Templates.

        The Contract Event Templates page is displayed.

      3. Click the View Details icon for the contract event template you want to edit the formula for.

        The Event Details page is displayed.

      4. Click the Edit Formula icon.

        The Edit Event Formula page is displayed.

      5. Edit the event formula as required.

      6. Click Validate Formula to check that the event formula functions correctly.

      7. Click Save.

        A confirmation message is displayed.

        Test contract event template formulas

        1. Open the navigation bar. If necessary, click the Manage tab.

        2. Under Organisation Standards, click Contract Event Templates.

          The Contract Event Templates page is displayed.

        3. Click the View Details icon for the contract event template you want to test the formula for.

          The Event Details page is displayed.

        4. Click the Test Formula icon.

          The Test Event Formula page is displayed.

        5. Enter sample data in the relevant fields as required to test the formula.

        6. Click Test Formula.

          The test results are displayed.

          Tip Click Reset to clear data from the test fields if you want to test again.

          Delete contract event templates

          1. Open the navigation bar. If necessary, click the Manage tab.

          2. Under Organisation Standards, click Contract Event Templates.

            The Contract Event Templates page is displayed.

          3. Click the View Details icon for the contract event template you want to delete.

            The Event Details page is displayed.

          4. Click the Delete icon.

            A warning message is displayed.

          5. Click OK.

            A confirmation message is displayed.
