Edit business process roles

Most of the details of a business process role can only be edited if it is not In Use. Its name can be edited at any time.

Note When a business process role name is changed, any workflows which use that business process role are automatically updated. This process can take some time and you'll be unable to rename or delete any business process roles until it's complete.

The members of a business process role can be changed at any time. See Edit business process role members.

Who can edit business process roles?

The following users can edit business process roles:

  • Organization Best Practice Library: users with the Maintain Organisation Best Practice Library permission

  • Business unit Best Practice Library: users with one of the following sets of permissions:

    • the Manage Business Unit Best Practice Library permission for the business unit

    • the Access Across Business Units AND the Manage Business Unit Best Practice Library permission

  • Project/dept Best Practice Library: the Project Administrator

  • Contract Configuration: users with the following contract roles:

    • Contract Owner

    • Contract Administrator

    • Contract Process Owner

    • Company Representative

  • Tender (Stage Gate Configuration): the tender administrators

To edit a business process role:

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept, or the Contract or Stage Gate Configuration page.

  2. Select the Business Process Roles tab.

    The Business Process Roles page is displayed.

  3. Click the fa-sort-down drop-down arrow for the business process role you want to edit, and select Edit Details from the menu.

    The Edit Business Process Role page is displayed.

  4. Edit the information as required in the relevant fields.

    The name of the business process role.

    Note Business process role names must be unique, for use in workflows.

    The names of custom fields associated with the business process role.

    Transmission Slip Reference Details

    Are Transmission Slips required for Process Steps assigned to this Business Process Role?

    Select whether to include a transmission slip reference (Yes or No).

    For a business process role which will be assigned to tender stage gates, select Yes.

    Incoming Response Prefix

    If you selected Yes for the Transmission Slip Reference, the prefix to the reference number for incoming messages.

    Outgoing Response Prefix

    If you selected Yes for the Transmission Slip Reference, the prefix to the reference number for outgoing messages.

  5. Click Save as Draft to save the business process role.

    The Business Process Role page is displayed.
