Reference schedule items in stage gate packages

In order to make an informed decision, the Responsible Party may require supporting tender information. To facilitate this, previous tender schedule items can be referenced in the stage gate package. When schedule items are referenced, the schedule item details are included in the transmission slip. All documents associated with the schedule item are included in the zip file which can be downloaded by the Responsible Party.

Note If the schedule item referenced is a Despatch/Tracking schedule item, only documents which have been released by the bid Opening Authority are included.

The following rules apply to referencing schedule items within a stage gate:

  • Only Review, Despatch/Tracking or Shortlist schedule items may be referenced.

  • A Despatch/Tracking schedule item can only be referenced AFTER the dispatch's final submission date has passed.

  • The referenced schedule item must come before the stage gate within the tender schedule.

  • The schedule item must be marked as complete.

To reference a schedule item in a stage gate package:

  1. Navigate to the View Package page for the required stage gate. This is the page to which you are directed when you create a stage gate package.

    Note Alternatively you can access the View Package page by navigating to the stage gate home page and clicking View Package.

  2. Click Edit Supporting Schedule.

    The Select Supporting Schedule Items page is displayed.

  3. Select the items you want to reference.

  4. Click Save.

    A confirmation message is displayed.

    Note You can remove schedule items from the package by clearing the check boxes for the items you no longer want to reference.
