Create a contract obligation

Contract obligations are created on the Obligations tab for a contract. You can quickly add the basic details for an obligation, for example when working through the contract document, or open the Add Obligation window to create an obligation with additional details.
Users with the following contract roles can create contract obligations:

Contract Owner

Contract Administrator

Company Representative
To access the Obligations tab:

Navigate to the home page of the contract you want to work on.

Click the Obligations tab.
Tip If you want to create a recurring obligation, you cannot use the quick-add feature. Follow the steps in Create a contract obligation with additional details below instead.
Create a contract obligation using quick-add

Click the quick-add arrow
next to the Add button.
The Quick Add box is displayed.

Enter information as required in the relevant fields.
Note Fields marked with an asterisk
are required.

Title

Clause: The contract clause that contains the obligation (if relevant).

Owner: Select the owner of the contract obligation:

Company

Contractor - You cannot assign contractor contract roles as the responsible party unless this is selected.

Internal

Obligation Text: You can paste text into this field, for example from the contract document.
Note This is a Rich Text field; use the buttons on the field toolbar to add formatting to the text.

Click the
Save button.
The obligation is displayed on the Obligations page. You can edit the obligation to add further details if required.
The Quick Add window is refreshed (the fields are cleared) and remains open until you click the quick-add arrow or anywhere on the page outside the Quick Add window.
Create a contract obligation with additional details

Click the Add button.
The Add Obligation window is displayed.

Click Note Contract roles and business process roles are invalid if they have either no users or have only disabled users. Only company users who have a contract role directly or through a business process role can be selected. You can only select contractor contract roles if you selected Contractor as the Owner. |

Select the status of the contract obligation: |

The obligation can have an optional due date. Select the type of due date for the contract obligation, on which a notification will be generated for the responsible party:

None. The obligation does not have a due date.

Exact Date. Select an exact date and time for the due date of the obligation.

Relative to Milestone. Select the criteria used to calculate the due date of the obligation, relative to a milestone date (which can be a user-defined milestone date or a contract date such as Award Date):

Enter the number of days/weeks/months/years for the time period.

Select Days, Weeks, Months or Years from the drop-down list.
-
Select whether the specified time period is After, Before or On the milestone date.

Select the milestone date which will be used to calculate the due date.
Note If the milestone date is updated, the due date of the obligation is recalculated and the Overdue state may be updated.

If the obligation has a due date, it can be set as recurring. By default, Repeat is set to No.
To configure the recurrence:

Select the frequency of recurrence from the Repeat drop-down list, and set any relevant options.
Note If a month has fewer days than the value set for Monthly, Quarterly or Biannually, the obligation occurs on the last day of that month.

Daily

Weekly: Select the day of the week on which the obligation recurs.

Monthly: Select the day of the month on which the obligation recurs.

Quarterly (every 3 months)

Biannually (every 6 months)

Yearly: Select the day and the month on which the obligation recurs.

Select the end date for the recurrence:
-
End After. Enter a specific number of additional occurrences of the obligation.

End On. Select a specific date.
-
End relative to. Select a milestone date.

If the obligation has a due date, it can have an optional associated reminder date, on which a notification will be generated for the responsible party.
Select the type of reminder date for the obligation, on which a notification will be generated for the responsible party:

None. The obligation does not have a reminder date.

Relative to Due Date. Select the criteria used to calculate the date on which a notification will be triggered for the obligation:

Enter the number of days/weeks/months/years for the time period.

Select Days, Weeks, Months or Years from the drop-down list.

Note If the due date of the obligation is changed or is recalculated because a milestone date is updated, the reminder date of the obligation is also recalculated.

Click Save.
The Add Obligation window closes and the new obligation is displayed on the Obligations page.
