The following users can view tender messages:
-
tender administrators
-
any tender team member
-
any user with the Business Unit - Audit Access to Tenders in Business Unit and the Access Across all Business Units user role permissions
Messages marked as Confidential can only be seen by tender team members who have permission to view tender messages and also have Confidential access to the tender.
To view the details of a tender message:

Navigate to the home page of the tender. If necessary, click the Messages tab.

On the Messages page, click the message you want to view.
The Message Details page is displayed with the details of the message, any attached documents, and a list of related messages (the Story section). The Subject of the message is shown at the top of the page.
Alternatively, you can click the message notification on the navigation bar (see Notifications) or click the message name from the Tender Messages alerts dashboard (see Tender Messages).

The reference and name of the tender. |

Received From |
Received messages only. The contractor and name of the contractor contact that the message was sent by. Click the contact name to view their details. |

Date Received |
Received messages only. The date the message was received. |

Received messages only. The date that you marked the message as read - see Mark a message as read below. |

Sent To |
Sent messages only. The names and contractor names of the contractor contacts the message was sent to. |

Date Sent |
Sent messages only. The date the message was sent. |

Requires Response |
Only displayed if a response is required from the message recipients. |

Response Due By |
Only displayed if a response is required. The date by which the response is required. |

Responses |
The number of responses received from contractors, and the number of possible responses, e.g. 2 of 3. |

Is Confidential |
Indicates whether the message can only be seen by tender team members with permission to view tender messages who also have Confidential access. |

Attachments |
Any documents attached to the message. Click the name of a document to open it or save it. Click the "fa-info-circle"> icon for a document to view its details. |

Message Body |
The text of the message. |
Story column descriptions
The current message is indicated with bold text.

Message Type |
The category of the message. This can only be set on messages sent by the company. All messages sent by contractors are categorized as 'Vendor Communication'. |

Date Sent |
The date the message was sent. |

Indicates that the message requires a response. |

The date by which any response is required. |
Mark a message as read
When you view a received message, it is not automatically marked as read. This must be done manually or by replying to it (see Reply to a tender message). Doing this marks the message as read for all users who can view it.
Warning Once a message has been marked as read, it cannot be unmarked.
To mark a received message as read:

On the Message Details page, click
Mark as Read.
A confirmation message is displayed.

Click OK.
The message is marked as read.
Change the confidentiality of a tender message
You can change the confidentiality of messages sent by you to the contractor, and messages received by you from the contractor. The contractor can only change the confidentiality of messages they send.
If a message is Confidential, tender team members without Confidential access will not see the message in the register on the Messages page, and will not be able to see its details.
Warning Messages with Confidential documents attached cannot be made Non-confidential.
To change the confidentiality of a message:

On the Message Details page, click the
Change Confidentiality icon.
A confirmation message is displayed, indicating whether the message will become Confidential or Non-confidential.

Click OK.
The Confidential field is updated with the current Confidential status of the message.
If the message was made Confidential, it can only be seen by tender team members with permission to view tender messages who also have Confidential access.
If the message was made Non-Confidential, all users who can view tender messages can see it.
