Communication reporting categories

The communication template controls the reporting category to which the financial value is assigned. This then determines how commitment and expenditure is reported in the contract financial forecast and breakdown. Factors which influence whether the amount is to be treated as Potential, Pending or Approved include:

The routing path of the communication (Company to Contractor, Contractor to Company or Company to Company (Internal Correspondence)).

The state of the communication, e.g. Draft, Awaiting Agreement from Recipient, Approved.
If a communication's reporting category is Not Applicable, the financial and schedule values of the communication are not included in the financial forecast.
The reporting category is updated automatically when the state of the communication is changed, according to the mapping template associated with its communication template (defined by the Administrator). The reporting category can also be updated, including to Not Applicable, when a communication is linked financially to another in a process chain.

Manually change the reporting category of a communication
The Administrator can enable a setting which allows users to change a communication's reporting category, for example if a communication is an exception to the mapping workflow defined by its communication template.
Only users with the following contract roles can edit the communication reporting category:

Contract Owner
-
Contract Administrator
-
Contract Process Owner
-
Company Representative
To manually edit the communication reporting category:

On the communication register, click the Title of the communication for which you want to change the reporting category.
The Communication Details page is displayed.

Click the
drop-down arrow on the Details tab and select
Edit Reporting Category from the menu.
The Edit Reporting Category page is displayed.

Select the new reporting category from the drop-down list.

Click Save.
The reporting category is updated and the Communication Details page is displayed.
