Project/Dept library

The Project/Dept library is a repository for holding project/dept documents. All members of the project/dept team can access the Project/Dept library. Therefore it is recommended that documents containing confidential information are not added to the Project/Dept library.

View library documents

Navigate to the Project/Dept home page.

Click
and select
Library from the menu.
The Project/Dept Library page is displayed.

Double-click the folder you want to view the contents of.
The documents within the folder are displayed.
Tip If you do not know which subfolder the required document is in, open the main folder and click the
icon. All documents within that folder and all subfolders are displayed.

Click the name of the document you want to view.
A message is displayed asking if you want to open or save the document.
Add documents to the Project/Dept library

Navigate to the Project/Dept home page.

Click
and select
Library from the menu.
The Project/Dept Library page is displayed.

Double-click the folder to which you want to add documents.
The contents of the folder are displayed.

Click
Add Files.
The Add Files window is displayed.

Click Choose Files to select the documents to add. You can also drag and drop documents from Windows Explorer.
Warning If there are problems with any of the selected documents, you cannot upload them. Errors are indicated by a red warning triangle
. Move the mouse over the icon to see an explanation of the error, and make the correction before trying to upload the documents.
You can click
to remove a single document, or click Remove All to remove all of them.

Edit the Names of the documents if required.

Select the check boxes to apply the following properties to the documents:

Enable Version Tracking
If version tracking is enabled, a (V*) suffix is appended to the document name. If the document has only one version, it will be displayed as (V1). As new versions are added, the version number is incremented by one (V2, V3, ...).

Click Add x Files to upload the documents to AVEVA Contract Risk Management.
Progress bars display the progress of the document uploads. If the uploads are taking too long, you can click Cancel to stop the upload of any documents which have not yet successfully been uploaded. This button is only visible when there are pending uploads.

If any of the document uploads failed, you can click Retry X Failed to attempt the uploads again.

Click Close once all the uploads are complete or cancelled.
Edit Project/Dept library documents

Navigate to the Project/Dept home page.

Click
and select
Library from the menu.
The Project/Dept Library page is displayed.

Locate the document you want to edit.
-
Click the
icon for the document you want to edit.
The Edit Options page is displayed.

Add notes to Project/Dept library documents

Navigate to the Project/Dept home page.

Click
and select
Library from the menu.
The Project/Dept Library page is displayed.

Click the
icon for the document to which you want to add the note.
The Notes page is displayed.

Click Add Note and select Create.
The Add Note page is displayed.

Enter the note text in the Note field.

You can also add an optional note attachment once you have entered the Note text:

Click Add File.
The Add File window is displayed.

Click Choose File to select the document to add. You can also drag and drop the document from Windows Explorer.

A confirmation message is displayed.
View notes attached to Project/Dept library documents

Navigate to the Project/Dept home page.

Click
and select
Library from the menu.
The Project/Dept Library page is displayed.

Locate the document whose notes you want to view, and click the
icon for the document.
The File Notes page is displayed listing all notes added to the document.

If you want to view documents attached to the note, click the
icon.
A message is displayed asking if you want to open or save the document.

Click Open to view the document in a new browser window or click Save to download the document to your computer.
