Rate versions

Rates can have versions, each with a different rate value and with a Valid From and a Valid To date which specify the date range for which the rate applies. These date ranges cannot overlap.
Each version must be valid for at least one day.
The Current Rate is the rate that is valid on that day. However, any rate version can be claimed for when using Reimbursable line items in an expenditure communication.
The last version of a rate has a blank Valid To date. This is the only version that can be updated or deleted. If it is deleted, the Valid To date of the previous version becomes blank.
The rate versions are displayed on the View Rate dialog box with the following information:

Rate: The rate per unit.

Valid From: The date that the rate is valid from.

Valid To: The date that the rate is valid until. If blank, the rate is valid for the rest of the contract.

In Use: Indicates if the rate is associated with a Reimbursable line item that is used in an expenditure communication.
Manually add a rate version to a contract rate

Navigate to the Contract Configuration page.

Click the Rates tab to display the rates which have been added to the contract.

Click the row of the rate you want to add a version to.
The View Rate dialog box is displayed.

Click Add Rate Version.
The Add Rate Version dialog box is displayed.

Enter the value of the version Rate.

Enter the date that the version will be Valid From.
Note You cannot enter a date earlier than one day after the last Valid From date for existing versions.
For example, if the last existing version has a Valid From date of 01 Jan 2019, the earliest possible Valid From date for the new version is 02 Jan 2019.

Click Save.
The new rate version is added.
Note The Valid To date of the last previous existing rate is set to one day earlier than the Valid From date of the new version.
For example, if the new version has a Valid From date of 1 Feb 2019, the Valid To date of the last previous existing version is set to 31 Jan 2019.

View the details of a rate version

Click the row of the rate on the Rates tab.
The View Rate dialog box is displayed.

Click the row of the rate version that you want to view the details for.
The View Rate Version dialog box is displayed with the following information:

Rate: The rate per unit.

Valid From: The date that the rate is valid from.

Valid To: The date that the rate is valid until. If blank, the rate is valid for the rest of the contract.

In Use: Indicates if the rate is associated with a Reimbursable line item that is used in an expenditure communication.

Update rate versions
Only the last version of a rate can be updated. If the Valid From date is update, this affects the Valid To date of the previous version.

Click the row of the rate on the Rates tab.
The View Rate dialog box is displayed.

Click the row of the rate version that you want to update.
The View Rate Version dialog box is displayed.

Click
Edit.
The Edit Rate Version window is displayed.

Edit the information as required in the relevant fields.
Note Fields marked with an asterisk
are required.

Rate: The rate per unit.

Valid From: The date that the rate is valid from.

Click Save.
The rate version is updated.
Note If the Valid From date is updated, the Valid To date of the previous rate is set to one day earlier than the new Valid From date of this version.
Delete rate versions
Only the last version of a rate can be deleted. When it is deleted, the Valid To date of the previous version becomes blank.

Click the row of the rate on the Rates tab.
The View Rate dialog box is displayed.

Click the row of the rate version that you want to delete.
The View Rate Version dialog box is displayed.

Click
Delete.
A confirmation message is displayed.

Click Confirm.
The View Rate window is displayed.
