Custom field templates

Custom fields are used to hold data that is specific to the company's business, often for the purposes of reporting and integration with other business systems.

Custom field templates are used in communication templates to specify the custom fields for communications.

The types of custom field templates which can be created are:

  • Small Text Field (unlimited characters)

  • Full Width Text Field (unlimited characters)

  • Comment Box (unlimited characters)

  • Number (maximum of 13 digits)

  • Date

  • Date and Time

  • Yes Or No (displayed as radio buttons)

  • Picklist (drop-down list of options)

  • Currency (maximum of 13 digits)

View custom field templates

  1. Navigate to the Best Practice Library for the Organization, business unit or project/dept.

  2. Select the Custom Field Templates tab.

    The Custom Field Templates page is displayed.

The list of custom field templates includes all those created in a higher-level Best Practice Library which you have permission to see. The Best Practice Library Level and Best Practice Library Name columns display where the custom field template was created.

Field

Description

Short Grid Column Title

The short name of the custom field template, for use in column headings.

Name

The name of the custom field.

Type

The type of the custom field.

Mandatory When Displayed

Whether the custom field must have a value when it is used in a communication.

Confidential Access

Whether the custom field is confidential.

Visible on Contractor Portal

Whether the custom field is visible on the Contractor Portal.

Read Only

Whether the custom field is read-only.

Always Editable

Whether the value of the custom field can be edited regardless of the state of the communication, i.e. so that it can be edited when the communication is no longer in Draft.

Best Practice Library Level

The level of the Best Practice Library in which the custom field template was created: Organization, Business Unit or Project/Dept.

Best Practice Library Name

The name of the business unit or project/dept in which the custom field template was created. This value is Global if the custom field template was created at Organization level.

In Use

Indicates whether the custom field template is in use in a communication template.
