View closed or PPA data for an accounting object

It is possible to view the Closed and Prior Period Adjustment (PPA) information for accounting objects.

As shown in the capture below, the Closed / PPA Data window has two sections, Closed Data and PPA Data.

The Closed Data section displays the data that was current at the time when the close took place.

The Prior Period Adjustment (PPA) Data section displays the PPA rows with the data changes that are caused by a re-calculation of the balance data after the object is closed.

When there is a recalculation of the balance data for an accounting object that is closed or partially closed, a PPA is generated. The PPA is assigned two different timestamps. They are as follows:

  • One that reflects the period where the PPA should be applied.

  • One that reflects the time of the data that caused the recalculation to occur.

When a PPA is generated the timestamp for the period where the PPA should be applied is assigned according to these rules:

  • If the data is closed, the timestamp is set to the last day in the most recent close period + 1 day, at the contract hour (for example, if the last close period end = 9/1/2022 8:59:59, the timestamp will be set to 9/2/2022 09:00).

  • If the data is partially closed, the timestamp is set to the timestamp of the data that caused the recalculation (for example, if the data is partially closed for the month of July and the data on July 8 changes, the timestamp will be set to July 8).

The timestamp for the period where the PPA should be applied is not shown, but is used to determine the time range that the data is displayed in when viewing the closed and PPA data.

The PPA data shown in the PPA Data section always displays PPA data with the Date Time of the data that caused the recalculation.

For example, if the balance data for the accounting object is closed for the month of July, it is displayed as shown below. If there was PPA data generated, it would be displayed in the PPA Data section. In the image, there was none available for the month.

Once the balance data is closed, if there is a recalculation of the balance data that leads to a change in the month of July, the PPA will be created for the next open period. In this case, that would be the month of August (as shown below).

To view the closed or Prior Period Adjustment (PPA) data for an accounting object

  1. From the desktop, select Balancing.

  2. Select the Summary window for your desired accounting object.

    Alternatively, if you want to view the Closed or PPA data for measuring stations, select View > Measurement Station Summary.

  3. From the listing of items on the Summary for your accounting object, right-click to open the action menu.

  4. Select Closed/PPA Balance Data.

    The Closed/PPA Balance Data window opens.

  5. If necessary, select the Date Scroll to define the date range.

  6. If necessary, select the granularity (Monthly, Daily, Hourly, 15 Minute).
