Add and edit Crews

Note: Editing a Crew is done by simply selecting an existing Crew, and changing the information on the General or Rotation tab as described below. However, there are special cases to consider when Editing a Crew. Please refer to Special considerations when editing Crews for more information.

  1. Begin Crew Setup by clicking the Create New Crew button, by choosing File→New or by using the hotkey CTRL+S.

    The entry "New Crew" (followed by a number in parentheses, if the intended name is taken) appears in the Crews list. The new Crew’s general information can now be entered in the General tab.

  2. Enter the following values for the Crew being created.

    1. Name: The name of the Crew as it will appear in the Crew Setup list and in the Schedule Manager. This value cannot be blank. (max. 50 characters)

    2. Description: (Optional) A description of the Crew, which appears in the Properties pane and in some tool-tips. (max 255 characters)

    3. Shift Group: The Shift Group of which this Crew will be a member. See Shift Setup for details regarding the purpose and use of Shift Groups.

    4. Start Date: The date this Crew starts its Rotation Pattern.

    5. Rotation: Defines the number of days (1-366) that specifies the pattern of shift assignments this Crew will follow. After the amount of days specified by this setting passes, the pattern restarts.

    Tip: For example, to setup a Crew that only works every other Friday, choose a 14 day Rotation Period. During the two weeks spanned by this Period, assign the crew to one of the two Fridays. Once this pattern is employed, it will repeat itself every 14 days, ensuring that the Shift is scheduled for every other week.

    Note: Use care when assigning the Crew’s Start Date, Rotation Period, and Rotation Pattern. Modifying these values after a Crew has been created, and has been in use in the system, will necessitate review of the Crew’s Rotation Pattern and of Scheduled Procedures. See Special considerations when editing Crews for more information.

  3. After defining these attributes, click the Rotation tab. This section enables the user to define the Crew’s Rotation Pattern by assigning the Crew to Shifts.

  • Schedule: Presents the Crew’s Rotation Period (in this case, 28 days) in 7-column calendar view, enabling the user to define the Crew’s Rotation Pattern.

  • Available Shifts: Provides a list of configured Shifts as defined in Shift Setup, and using the colors assigned there.

Keep in mind the following notes regarding Crew setup:

  • At least one Shift must be assigned to the new Crew’s Rotation Pattern before the Crew can be saved.

  • The relationship of the "Available Shifts" section to the "Schedule" section is essentially the same as that of the Procedures list to the Calendar in the Schedule Manager.

  • Crew Setup’s Calendar view for Rotation does not correspond to any particular month. It only represents a span of days that will repeat throughout the year.
