The actual date is the date when a procurement milestone is achieved. The actual date is applicable only for procurement milestones with Schedule Item Type M (Procurement Milestone). For a milestone related to an Event, use Update Actuals in the Scheduling group to update the actual date.

The Update Actuals action in the Scheduling group updates the Actual Date of a procurement milestone related to an Event as per the following:

If no actual date is registered for a procurement milestone, the milestone dates are evaluated and the actual date is updated as per the actual date update rule-set.
If an actual date already exists for a procurement milestone, and if the Instance field is defined as Latest, the milestone is re-evaluated and the actual date is updated as the latest date of the event.
If multiple dates are found applicable to a procurement milestone, the Actual Date field reflects the first date of the event if the Instance field is defined as First, and the latest date of the event if the Instance field is defined as Latest.

Rules to determine Actual Date update

The Actual Date field of a procurement schedule milestone is updated according to a set of rules that depend on the material relationship of the schedule (Type), the Event related to the schedule, and the Instance field. The actual date update rule-set is applicable for procurement schedules related to a project component, a Material Requisition (MR) or a Technical Material Requisition (TMR).

For the procurement schedule related to a project component, the actual dates are updated from all TMR positions related to the project component, all RFQs positions, follow-up positions, and PO positions related to the TMR positions.
For the procurement schedule related to an MR, the actual dates are updated from all RFQ positions, follow-up positions, and PO positions related to a TMR raised from the MR.
For the procurement schedule related to a TMR, the actual dates are updated from all RFQ positions, follow-up positions, and PO positions related to the TMR.
