Send an RFQ as an email

Send the final version of a Request For Quote (RFQ) as an email to the invited suppliers. You can send emails only if you have set up a valid email ID against your name in the s00003 Users screen. The emails are sent to the supplier from the email ID of the logged-in user.

Navigate to the s50019 Request for Quote screen.

To refresh the screen, select the F5 key.

In the Request for Quote Header grid, select a row.

Select the Invited Suppliers tab, in the Invited Suppliers grid, in the Att field, ensure the contact person has a valid email ID.

On the s50019 menu, in the Publish group, select Send Email.
The d0369 Send emails to invited suppliers dialog appears.

In the Select the recipient supplier(s) section, in the Invited Suppliers grid, select one or more suppliers, and then select the right arrow.
In the Selected Email Recipients grid, the selected suppliers appear.

In the email, to include the attachments defined for the email template in the s00027 E-Mail Templates screen and the attachments added to the RFQ, select the Include file attachments in email checkbox.
By default, the Include file attachments in email checkbox is automatically updated based on the Include Attachments checkbox in the s00027 E-Mail Templates screen.

Perform one of the following:

To directly send the email without a preview, select Send email.

To preview and edit the email before sending, perform the following:

Select Edit email before sending. The d0050 Send E-Mail dialog appears and the CC field is populated with the email IDs defined in the Email Recipients field, in the Invited Suppliers grid. Additionally, the To and the CC fields are populated with the email IDs of the default recipients defined in the s00027 E-Mail Templates screen and a copy of the email is also sent to the user defined as a Bcc recipient in the s00027 E-Mail Templates screen.

(Optional) To send a carbon copy of the email to additional recipients, in the CC field, enter the email ID of the recipient.

To change the email template, select Template. The d0052 Select E-Mail Template dialog appears.

In the grid, select the required template, preview the Subject and Text of the email, and then select OK. The template in the d0050 Send E-Mail dialog is updated.

Modify the Subject and Text according to your requirements.

Select Send.

The email is sent to the specified recipients.

To save the changes, on the Home menu, in the Record group, select Save.
